Job Title: District Copy and Mail Aide FY2425_79 Department: District Reports To: HS Building Principal Pay Table: Classified – Other Class: Classified Non-Exempt Range: $15.00 – $16.88 – 0.5 FTE - Part Time - 9 month Job Summary: Under supervision of the appropriate administrator, the district copy and mail aide serves the entire district for mail sorting and delivery as well as copy orders. This includes sorting, delivering, package handling and print work. The incumbent shall value and promote the mission and vision of the district. Essential Functions Duties/Responsibilities: Sorts and delivers incoming mail by department and/or employee to ensure timely distribution. Sorts and delivers interdepartmental mail including notices and memoranda. Picks up departmental mail. Operates mail machines including the postage meter, photocopying machine, and mail folding and inserting machine. Processes and weighs outgoing mail. Maintains records of receipt, mailing dates, and other required information. Replenishes postage on the postage meter as needed. Stocks supplies needed for the mailroom. Answers and transfers phone calls, screening when necessary. Welcomes and directs visitors and clients. Covers lunch for other administrative assistants when needed. Maintains filing systems as assigned. Responds to and resolves administrative inquiries and questions. Maintains office supplies and coordinates maintenance of office equipment. Use of office machines including mail meters, paper cutter, PC, etc. Operate digital copiers to complete copying requests. Coordinate workflow with staff for timely completion of printing requests. Operate additional equipment such as: folder, paper cutter, and coil bindery. Order supplies for mail and print Conduct inventory checks and audits Manual or automated print work finishing Operate automobiles for delivery Performs other related duties as assigned. Required Skills/Abilities: Excellent verbal and written communication skills. Excellent interpersonal and customer service skills. Proficient in Microsoft Office Suite or related software. Excellent organizational skills and attention to detail. Basic understanding of clerical procedures and systems such as recordkeeping and filing. Ability to work independently. Education and Experience: High School diploma or equivalent Valid Montana Driver’s License Pass background check Working Conditions: Duties are performed indoors and outdoors in all weather; rain, snow, cold and heat The incumbent will experience interruptions while performing normal duties during the regular workday. The incumbent will have contact, in person. via email, or on the telephone, with faculty, management, staff and the general public. Physical Requirements: Typically, may sit and stand for extended periods of time. Regularly lifts, carries and/or moves objects weighing up to 50 pounds. Operates a computer. Operates various mail equipment Operates various copy center equipment; binder, copier, paper cutter, etc. Communicates over the telephone, by email, and in person.
