Duties include various financial budgeting and reconciliations; verifying expenses and revenues for compliance, correcting accounting transactions as needed; assisting with the budget development process and assisting with training on department policies and procedures.This position will provide technical and professional financial accounting and budgeting in an office manager role. This position examines, analyzes, and interprets budget and accounting records for the purpose of completing transactions, providing guidance, and preparing statements and reports. The position conducts complex reconciliations and problem resolutions for multiple indexes. May assist with the development and implementation of systems for recording costs or other financial and budgetary data. An effective candidate for this position will be able to check the accuracy of data, calculations, and postings pertaining to business transactions recorded by others.Position will perform general office duties and collaborate with both the Executive Director and the Director of Facilities. Position will work closely with skilled trades workers and custodial supervisors. Position will support rentals, collect monthly rents, advertise vacancies and support the administrative management of rentals.DUTIES and RESPONSIBILITIES:Accounting & Budgeting:•Prepare various budget, fiscal and management reports.•Ensure compliance with University and government rules and regulations.•Process payments, invoices, revenue, and receipts and enter data into accounting software.•Responsible for reconciliation of purchasing card clearing fund monthly with corrections made as needed.•Assist in fiscal year-end closing processes such as accruals, inventories, etc.•Work closely with the Financial Services Office to identify discrepancies and help to correct them in a timely manner.•Maintain the Facilities Department Budget Workbook and ensure financial data aligns with the fiscal year budget.•Verify accuracy of business accounts.•Reports indirectly to Financial Services Assistant Vice Chancellor for Finance on specific project work.•Reports indirectly to the Director of Facilities on specific project work.•Maintaining confidentiality of personnel and departmental budget information and related documentation.•Provides back up services as directed to Financial Services.•Other duties as assigned.General Administrative Duties:•Support the mission of the University.•Provides administrative support to supervisor and colleagues.•Work collaboratively across campus.•Manage workorder system and review extract data weekly and initiate necessary corrections and adjustments.•Conduct periodic reviews of inventory; coordinate and oversee fiscal yearend inventory.•Coordinate, test, and implement software updates in conjunction with the Financial Services Office.•Document policies and procedures.•Digitize documents.•Maintain electronic records.•Participate in audits; collect and provide documentation as requested by supervisor.•Coordinate and schedule training; follow-up to ensure completion.•Assist in developing and implementing policies and procedures.•Assist with testing of financial systems including Banner, FAMIS and other systems.•Answer phone calls and direct to appropriate areas.•Serve as a backup in other areas as needed.•Maintains administrative rental work (accepts applications, posts vacancies, requests background checks, work orders, etc.)•Assists in managing budget of rental units.•Other duties as assigned.QUALITIES:•Punctuality - is consistently at work on time.•Excellent oral communication skills - speaks persuasively in positive or negative situations; listens and gets clarification; responds well to questions; participates in meetings.•Excellent written communication skills - writes informatively; edits work for spelling and grammar varies writing style to meet needs; presents numerical data effectively; able to read and interpret written information.•Excellent interpersonal skills - manages difficult or emotional people; responds promptly to calls and emails; meets commitments.•Problem solving skills - able to identify and respond to problems when they arise; takes initiative to research and analyze problems; presents solutions.•Good attention to detail to enter correct data into financial records and recognize errors.•Mathematics skills for accurate record-keeping.•Administrative skills.•Solid organizational skills to manage different financial duties, including the ability to prioritize tasks to meet deadlines.•Confidentiality - Ensures sensitive and confidential information is not shared with others, is locked away at night and not left unattended during the day; shows good judgement; Able to identify confidential or private information.•Team player - Ability to work with others to include those with different types of personalities; actively participates; respectful of other; willingness to assist others.Education Required:•Bachelor’s degree in accounting, Business, Finance, or other related field with at least (1) year directly related work experience OR equivalent combination of education and directly related work experience in the areas of accounting, budgeting, bookkeeping, or fiscal management.Experience Required:•Demonstrated progressively responsible experience in accounting and reporting.•Demonstrated knowledge and skill applying generally accepted accounting principles.•Demonstrated experience in compiling, monitoring, and reconciling fiscal data.•Demonstrated advanced knowledge, proficiency and experience using complex accounting systems, electronic spreadsheets, database applications, and word processing software.•Demonstrated experience utilizing technology.Experience Preferred:•Experience with Banner accounting systems or other comparable electronic accounting systems.•Advanced skills with Microsoft, Oracle or other report writing software.•Experience with FAMIS or other facilities services work order software.Applicants will be reviewed and interviewed on an ongoing basis after the screening date. Requires a full range of body motion, manual and finger dexterity, and eye-hand coordination; requires sitting for long periods of time and performing repetitive tasks. Requires the ability to lift/carry up to 40 pounds. Requires corrected vision and hearing to be within the normal range, with or without reasonable accommodation.
