Intermountain Health Administrative Assistant in Billings, Montana
Job Description:
This position provides and oversees a variety of semi-routine clerical and specialized administrative functions generally of a critical or confidential nature for one or two small departments, clinics, or mid-level managers and may be assigned administrative or support related projects that are narrow in scope and complexity. This role is assigned to those with a primary responsibility to provide traditional administrative support such as preparing and composing correspondence, memoranda, reports, etc. This position screens telephone calls, receives and directs visitors, resolves routine inquiries, schedules and maintains calendar of appointments and schedules, prepares and distributes minutes of meetings, and operates a personal computer and appropriate software to create documents, presentations, etc.
Schedule : Monday - Friday
Hours : 6:00am - 1:30pm
As an Administrative Assistant you need to know how to:
Schedule appointments and arranges meetings, including scheduling attendees, reserving rooms and equipment, ordering food, and room set-up- Research, assemble, and verify data for the preparation of a variety of reports. Develop and maintain meeting minutes, routine reports, and status/dashboard updates.
- Prepare routine and complex correspondence and reports for review. Produce and duplicate materials. Complete assigned data entry. Maintains file and record system.
- Maintain an orderly work area. Inventory and requisition supplies and equipment and reconciles invoices. Assist leader and department associates with expense reports- Support department in onboarding new associates including coordinating appropriate equipment and supplies.
- Support department by assisting with projects. May lead the work of other associates
- Act as resource in the department to facilitate IT support and maintain appropriate supply stock.
Create standard operating procedures and process documentation to support the efficient operation of the department.
- Participate in quality and patient safety initiatives. Identify potential areas for improvement including processes that could be streamlined or revised to improve patient satisfaction. Identify potential safety hazards that may create problems for patients and/or staff, and take appropriate actions.
- Participate in departmental meetings, contributing ideas or feedback.
- Promotes mission, vision, and values of SCL Health, and abides by service behavior standards.
May be required to float to other departments (within scope of competency and qualifications) based on business need
Minimum Qualifications
High School Diploma or equivalent, required; Associates degree preferred-
Three years secretarial or administrative assistant experience, required- Experience with Google Suite, preferred.
Physical Requirements:
Interact with others by effectively communicating, both orally and in writing.- and -Operate computers and other office equipment requiring the ability to move fingers and hands.- and -See and read computer monitors and documents.- and -Remain sitting or standing for long periods of time to perform work on a computer, telephone, or other equipment.- and -May require lifting and transporting objects and office supplies, bending, kneeling and reaching.

The hourly range for this position is listed below. Actual hourly rate dependent upon experience.
$17.85 - $24.26
