Stockman Bank of Montana AG LOAN ASSISTANT SUPERVISOR in Billings, Montana

Position General Responsibilities:

Responsible for various duties performing as a Loan Processor for the Agricultural Department including all facets of loan document preparation, recordation, and maintenance of credit files. Tickler list management and loan accounting are also critical to the job function.

Supervisor responsibilities to include:

  • Training, coaching, and mentoring employees

  • Assign and delegate work

  • Review work for deadlines and quality

  • identify and elevate issues/problems to management

  • interview/hire/terminate employees. As a supervisor the employee will provide guidance, instruction, direction and leadership to staff for the purpose of maintaining our mission of good credit administration and compliance within our policy’s and procedure’s.

Employees Supervised:

  • One Ag Loan Assistant

Education, Experience and Certification Requirements

Note: Only minimum responsibilities are listed. Other responsibilities may be required as requested by management.

Basic Qualifications

  • 2 year college level course of study in Business Administration and/or financial institution or related field experience or equivalent training and/or experience.

  • Excellent customer service skills.

  • Strong communication and organizational skills.

  • Must be able to work independently and to prioritize multiple tasks.

Preferred Skills

  • Previous Loan Processing Experience

.Position Specific Responsibilities, Duties and Competencies

Loan Processing:

  • Loan documentation preparation for all lenders.

  • Responsible to develop expertise in loan documentation as well as to develop general credit skills commensurate with the position of loan processor.

  • Disbursement of loans, including ticket preparation

  • Responsible for tickler list, loan file maintenance, loan accounting and other duties as assigned.

  • Responsible for professionally dealing with Title Companies, Insurance Companies, Farm Service Agencies, BLM offices, Secretary of State, Montana Dept. of Livestock, etc. as needed for loan information.

  • Preparation of loan perfection documentation and tracking, including but not limited to the following: UCC, EFS, Brand Lien, Assignment of Government Payments, BLM and DNRC Lien Notices, Assignment of Indemnity, Assignment of Life Insurance, Contract for Deed, Security Instruments, Deposit Accounts, vehicle lien filings, etc.

  • Responsible for collateral safekeeping as applicable.

  • Responsible for correspondence mailings, phone, and lobby traffic.

  • Manage denial / withdrawn credit files.

  • Process paid and renewed notes, preparation and filing of mortgage releases and satisfactions as applicable.

  • Filing for loan department; make loan advances and payments.

  • Responsible for preparation of notes modifications and extensions; letters of credit and commitment.

  • Quote loan payoffs as needed; monitor lien filings; order appraisals, lien searches, and title commitments.

  • Prepare new and maintain current files

  • Provide secretarial help as needed.

  • Other duties as assigned.

Credit Support:

  • Request Credit Reports, Lien Searches, Business Entity and Registered Principal Searches as needed for loan documentation in loan files

  • Receive and process loan advance and payment requests from customers

  • Maintain AG database for tracking of inspections, UCC expirations, and other reports and information as needed.

  • Prepare correspondence related to documentation of loan files.

  • File for AG Dept

  • Monitor AG Pending.

  • Close and purge AG files when needed

  • Request tax returns, financial statements and life insurance information on annual basis, or as needed.

Miscellaneous Duties:

  • Notary Public

  • Secretarial Support

  • Greet and assist customers

  • Answer phones, takes messages; assist with general account information

  • Other duties as may be assigned

Sales/Public Relations:

  • Promote the improvement of Stockman Bank through quality customer service, promotion of products, professionalism in conduct and diligent work ethic.

  • Greet all customers pleasantly and make them feel welcome and comfortable.

  • Handle transaction quickly and professionally.

  • Effectively handle customer questions and problems.

  • Use effective listening and observing skills to help identify and resolves customer needs.

  • Spot sales opportunities and refers business consistently.

  • Cross-sell other services whenever the opportunity arises.

  • Keep up to date on pricing and products.

  • Relay customer comments and or complaints to the Operations Officer immediately.

Federal Regulations:

Maintain a working knowledge of Bank's written policies and procedures that apply to and concern this position’s area of responsibility, including general regulations such as the Bank Secrecy Act, Regulation CC, Regulation E, Bank Security and various other Federal and State regulations as they apply.

Leadership/Loan Assistant Supervisor:

  • Aid in the training of staff by delegating workload so that other assistants get experience in all scopes of the position, help with problem solving credit issue inquires and research issues.

  • Be attentive to what is going on in your lobby; customer traffic and customer interactions with staff.

  • Help maintain efficiency with in the Ag Department, with overall knowledge of workflow

  • Conduct performance reviews and development plans

  • Team building and ensuring teamwork

  • Training

  • Hold weekly meetings at the branch level

  • Monitor work loads and overtime

  • Approve/Disapprove PTO as work loads are monitored

  • Weekly, Monthly and Quarterly Reports for Branch

Analyze and Process:

  • Assist lenders with financial data, input and customer contact

  • Review file documentation for completeness and correctness in accordance with Front End guidance, Credit Policy and Credit Process Procedures.
