PURPOSE/DISTINGUISHING CHARACTERISTICS

Assists with support and maintenance of information in the Surgery Center/Surgical Services information systems applications. Performs preference card maintenance, patient charge management, inputting of patient data, compiling statistics for management reports, and assists other department personnel with system issues. Performs all functions according to established policies, procedures, regulatory and accreditation requirements, as well as applicable professional standards.

KNOWLEDGE, SKILLS AND ABILITIES

KNOWLEDGE OF:

· Billings Clinic policy and procedures, both organizational and departmental

· Personal computers, hardware and software

· Microsoft Office Programs (e.g., Windows, Outlook, Word, Excel, etc.)

· Billings Clinic Code of Business Conduct

· Billings Clinic Corporate Compliance Program

· HIPAA and confidentiality requirements

· Patients rights

· Patient safety standards

· Customer service techniques and Personal Service Excellence (PSE) skills

· Coding procedures and regulations

· General understanding of reimbursement methodologies

· Hospital billing practices, policies and procedures

· CPT4 coding and ICD9 coding systems

· Accounting and bookkeeping principles

· Office procedures

· Database management and report writing

· Project management

· Professional communication skills, both verbal and written

· Microsoft Office programs, (i.e., Word and Excel)

· Time management, organization and prioritization

· Conflict resolution

· Understanding the interaction between multiple software systems

· Utilizing computer systems and maintaining databases

· Data entry and data manipulation

· Coordinating information with diverse groups of individuals, professionals and leadership team

· Problem avoidance, identification, isolation and implementation/coordination of timely resolutions

· Data gathering, compilation, and analysis

· Development of a variety of reports to monitor and report on system utilization, improvements and cost savings

· Development of effective training materials and courses to meet diverse user needs

· Teaching end users how to utilize system and optimize its effectiveness

ABILITY TO:

· Incorporate population specific needs into all aspects of communication and patient care; scope of services provided will encompass age groups from infant through geriatric

· Communicate clearly and effectively, both verbal and written

· Work with frequent interruptions and competing priorities

· Utilize and interpret coding manuals in the development of new codes

· Identify and resolve charge code problems. Effectively monitor and evaluate all billing reports and demonstrate good judgment in any corrective action necessary.

· Exhibit good judgment and unquestionable ethics in handling sensitive and confidential information

· Exercises a high degree of initiative, judgment and discretion

· Capable of balancing multiple, complex projects and deadlines. Completes assignment in an appropriate time frame.

· Interpret policies and procedures; identify non-compliance and take appropriate corrective action as it relates to reimbursement and coding

COMPLEXITY & DIFFICULTY:

· High degree of accuracy and attention to detail. Errors by this position have significant impact on the financial viability of the Surgery Center and Billings Clinic. Therefore, accuracy and integrity of the information is critical.

· Failure to accurately monitor data exchanges could result in lost charges, revenues and/or reimbursement

· Failure to coordinate appropriate par levels within organization could negatively impact quality of patient care and end-user satisfaction which ultimately would result in the elimination of any process/system controls to manage inventory/charge capture

· Failure to provide appropriate end user education and training could result in poor utilization and system performance problems resulting in excessive overrides/discrepancies which ultimately would result in failure to control cost reductions

MINIMUM QUALIFICATIONS

· High school diploma or equivalent

· Two (2) years post high school education, preferred

· Prior Billings Clinic experience helpful

· Prior knowledge and/or experience working with patient billing, charge master systems or charge capture processes preferred

· Previous office experience and/or database management experience helpful

· Prior experience with dealing with computer equipment support and/or information system support, helpful

· Or an equivalent combination of education and experience relating to the above tasks, knowledge, skills and abilities will be considered
