SUMMARY

Responsible for oversight of the Facility Maintenance Vendor (FMV) managing maintenance, repair, and upkeep of all First Interstate Bank properties. Oversee, and direct the FMV which will subcontract for management of building equipment, facilities, grounds, and maintenance operations. Duties also include collaboration with business and market leadership, oversight, and approval of contracts for facilities-related services by outside vendors not covered by FMV; and collaborate with corporate real estate leasing.

ESSENTIAL DUTIES & RESPONSIBILITIES include the following: other duties may be assigned.

Facilities Management:

  • Manage the relationship with the third-party facility management vendor in accordance with company policies and annual operating plans.
  • Assist with budget development and status oversight for all third party managed capitalized projects <$300,000 which are not otherwise included as a substantial new build or remodel in the annual capital budget.
  • Responsible for occupancy operating budget oversight and accuracy of related general ledger categories directly related to FMV and facility maintenance, including performance to budget and variance analysis.
  • Provide input and approval as needed to third party facility management firm regarding subcontractors, vendors, and other service providers.
  • Communicate effectively and work collaboratively with market leadership and bank personnel.
  • Work with third party facility management firm and internal stakeholders to accomplish the following:
    • Establish annual maintenance plans and ensure scheduled preventative maintenance plans are completed for each facility.
    • Sufficient maintenance contracts and vendor relationships are in place for each facility.
    • Ensure regular, scheduled inspections of all properties.
    • Recommendations for 3-year capital maintenance and repair schedules; remodeling and leasehold improvement plans to maintain the Bank's established retail brand presentation.
    • Periodic review of scope of work for FMV managed, ordinary maintenance and facility operational service vendors (HVAC, janitorial, landscape, etc).
    • Provide reporting from FMV for ongoing capital projects (as noted above), including timeline and budget status, as requested by supervisor and as needed for Corporate Real Estate Committee meetings.
      • Maintain Project Dashboard for high level summary reporting.
    • Develop occupancy data and benchmarks to feed into Corporate Real Estate Dashboard.
    • Ensure compliance with all necessary workplace laws and regulations.

Project Management:

  • Develop, refine, and maintain standard project management processes.
  • Collaborate with Bank Equipment Manager to coordinate the purchase of equipment as needed.
  • Collaborate with supervisor and Corporate Construction Manager, as requested, and assist with coordination of employee moves, space preparation, Safe Deposit Box analysis, and other related efforts.
  • Assist with due diligence related to land and building acquisitions as requested by supervisor.

Space Management:

  • Recommend improvements to support sustainability and continuous improvement initiatives in space management and operations of facilities.
  • Assist management in developing workspace plans. Evaluate and maintain workspace optimization and benchmark data.

Automated Teller Machine Resources:

  • Work with ATM Fleet Manager, IT and Bank Operations on site specific conditions for new installations, upgrades, and movement of ATMs.

QUALIFICATIONS

EDUCATION and/or EXPERIENCE

Ten years of progressively responsible experience related to commercial real estate construction and development, building systems and maintenance, general contractor and vendor management and oversight. Supervisory experience preferred. A Bachelor 's degree in an applicable field is preferred.

LANGUAGE SKILLS

Ability to read, analyze, and interpret common scientific and technical journals, financial reports, and legal documents. Ability to respond to common inquiries of complaints of customers, regulatory agencies, or members of the business community. Ability to write speeches and articles for publication that conform to prescribed style and format. Ability to effectively present information to top management, public groups, and/or boards of directors.

MATHEMATICAL SKILLS

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

PROFICIENT IN MICROSOFT APPLICATIONS

Ability to create, modify and interpret excel spreadsheets including functions, pivot tables, conditional formatting, graphs, charts, etc. Proficient in common Microsoft suite of applications including Word, PowerPoint, Excel, OneNote and MS Project.

REASONING ABILITY

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

PHYSICAL DEMANDS

While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel; and talk or hear. The employee is occasionally required to stand, walk, and reach with hands and arms. The employee must occasionally lift and/or move up to 50 pounds, frequently lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.

The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. The noise level in the work environment is usually moderate but can be extreme when visiting construction sites.
