Position General Responsibilities:

This position provides administrative, paralegal and secretarial support to Stockman Bank’s in-house legal counsel. While the position is administrative by nature, the successful applicant will be expected to take-on responsibility and exercise discretion that exceeds that involved in a typical administrative role. As an example, the successful applicant will be expected to complete legal and factual research and draft succinct legal memos under deadline pressure in a fast-paced and dynamic environment involving a wide range of legal issues. At the same time, the successful candidate will be expected to work with the corporation’s leadership executives in service of their legal needs, including scheduling meetings, apprising them of matter status, and the like.

Education, Experience and Certification Requirements

NOTE: Only minimum responsibilities are listed. Other responsibilities may be required as requested by management.

Minimum Qualifications:

  • Bachelor’s Degree and/or equivalent training and/or work experience.

  • Must be able to communicate openly and authentically.

  • Good interpersonal/team skills with ability to develop effective working relationships.

  • Must be able to work independently, demonstrate initiative, and prioritize multiple tasks.

  • Strong desire to learn.

  • Strong attention to detail.

  • Exceptional written communication and organizational skills.

  • Considerable experience with Microsoft Word, Excel, Outlook, etc.

  • Experience with document management software.


  • Bachelor’s degree in paralegal studies or paralegal experience.

  • Experience in a legal or regulatory setting (e.g., law firm, bank, or title company.)

  • Three or more years of financial institution experience or training; or equivalent combination of education and experience.

Position Specific Responsibilities, Duties and Competencies

Administrative Support Functions:

  • Typing correspondence, memos, contracts, real estate instruments, including deeds, and other business and legal documents and instruments as needed.

  • Maintain and manage electronic and physical document filing systems.

  • Photocopy, scan and fax documents as needed.

  • Distribution of documents, internal and otherwise, by email, hard copy, etc. as required.

  • Proofread contracts, court filings, and other legal and business documents.

  • Schedule appointments and meetings and maintain calendar.

  • Manage travel accommodations. Complete attendance/PTO calendars, credit card and expense statements for Legal Counsel as requested.

  • Make/return phone calls for Legal Counsel as needed.

  • Miscellaneous research and other duties as may be directed.

  • Handle confidential and non-routine information.

  • Answer phones and take messages or field questions.

  • Other miscellaneous support as deemed necessary.

Customer Service Support:

  • Promote the improvement of Stockman Bank through quality customer service, promotion of products, professionalism in conduct and diligent work ethic.

  • Greet all customers and business contacts pleasantly and make them feel welcome and comfortable.

  • Gain and maintain familiarity with all business contacts (specific to Legal Counsel and/or other Executives as directed).

  • Use effective listening and observing skills to help identify and resolve customer needs.

Federal Regulations:

  • Maintain a working knowledge of Bank's written policies and procedures that apply to and concern this position’s area of responsibility, including general regulations such as the Bank Secrecy Act, Regulation CC, Regulation E, Bank Security and various other Federal and State regulations as they apply.

  • Constant lifting/carrying up to 10 lbs. Constantly required to hear, talk, sit, and reach with hands and arms, stretch, work under time constraints with needed ability for task management flexibility and to perform routine duties with attention for details. Constant abilities used/required on the job are memory, reasoning and exercising judgment with guidance and reinforcement available as well as co-worker support.

  • Frequently write, read, and type with keyboard, stand, walk or sit, while requiring oral and written communications with co-workers, customers and transactions.

  • Occasionally stoop, kneel, crouch or crawl. Occasionally the employee might work alone, perform routine work, or utilize mathematics and problem-solving skills.

  • Infrequently climb (up ladders, etc.), balance (to reach items) and drive a car. Infrequently required to lift and/or move up to 50 pounds, work in confined areas, work with extended hours or use estimating as part of daily duties.

  • Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and the ability to adjust focus.

  • Constantly works with others, around others, with co-workers in other departments or branches and with customers and the general public in person and via telephone. Constantly works indoors, in confined areas and is exposed to the risk of electrical shock.

  • Frequently works around noise (moderate level). The employee must have the ability to focus on tasks and customers while hearing machines, conversations of others, music, phones, etc., in a confined area.

  • Infrequently the employee works alone and also works near moving objects. The employee is also infrequently exposed to outdoor weather conditions.
