The position involves a variety of expectations of the individual as they work in the varied environment of the music program. The Program Coordinator will coordinate the services, activities, and offerings for student-centered aspects of the Department of Music. This includes organization and development of reports and data analysis as well as day to day activities affecting the overall direction of music, clinician, concert and recital programming. The position also includes developing and implementing special projects, marketing and recruitment, assisting with grant writing and administration, supervision of student workers, and assisting the chair with budget management.DUTIES and RESPONSIBILITIES:•Pre-advise students by directing them to guidelines for their degrees, course listings, and faculty advisors.•Coordinate marketing and recruitment efforts for the departments.•Maintain department website.•Track inventory of department.•Assist department faculty, including all part-time faculty and graduate teaching assistants, by providing administrative, clerical and technical support for monitoring class enrollment, generating class lists/transcripts. Maintains database of courses and faculty workloads. Prepares hiring (preemployment) documents in accordance with the Billings Faculty Union Collective Bargaining Agreement and/or Human Resources. Oversees budgets and regularly reports to department chairs. Coordinates the search process for vacant department positions with the Human Resources Department by developing job descriptions and arranging candidates’ on campus interviews by making travel arrangements.•Assist students for the department by providing curriculum information, registration of classes, printing of transcripts & schedules, assignment of advisors, and maintenance of files. Download and distribute student evaluations to faculty after each semester ends. Maintains bulletin boards with information for students on scholarships and post-graduate opportunities. Post notices on classroom doors when faculty members are absent for unforeseen reasons and notify appropriate personnel.•Provide assistance/support for students and faculty to operate classroom technology. Coordinate and plan student advising events.•Administer department as office manager by organizing, coordinating and prioritizing information and tasks in order to meet deadlines and to maintain a steady workflow during and between semesters.•Direct supervision of one or more office student employees. Assist with supervision of the graduate assistants and student workers.Preferred Qualifications:•Knowledge of music department and university academic requirements•Customer service skills -Ability to work with communities and organizations outside MSUB•Knowledge of (or ability to learn) social media and website development•Knowledge of copy machines, Scantron machines, FAX machines, and multi-media equipment.•Ability to work well with constant interruptions.•Ability to exercise self-motivation.•Ability to appropriately handle confidential information and to represent the office, college and the university as a professional.•Knowledge of university policies, procedures and collective bargaining agreement.•Knowledge of EPAF procedures.•Effective interpersonal and communication skills.•Knowledge of Banner System, Microsoft Word, Access, APEX, Outlook and the Internet.•Ability to organize and prioritize a variety of tasks.•Respect for confidentiality.•Ability to work effectively under minimal supervision.•Knowledge of computer software for marketing purposes (i.e. Adobe Suite, Excel, Word)•Knowledge of multi-media equipment.•Ability to organize and correlate scheduling.•Knowledge of university policies and procedures.•Knowledge of Event Management System•Ability to work independently.•Knowledge of university and office proceduresPHYSICAL DEMANDS: Minimal, with ability to lift and move items no more than 20 lbs.Applicants will be reviewed and interviewed on an ongoing basis after the screening date.
