Bozeman Health Access Management Coordinator (FT- 0.9 fte) in Bozeman, Montana

Position Summary:

The Access Management Coordinator is primarily responsible for facilitating patient access through the development, coordination and maintenance of the medical provider schedules and templates for Bozeman Health in accordance with policy and patient demand. The Access Management Coordinator works closely with Access Program team including medical providers, office managers and the Access Management Supervisor, to meet business objectives and promote a positive work environment. The Access Management Coordinator is the liaison to the provider based medical practices as it relates to the development and management of the provider templates, schedules including managing all requests for scheduling modifications for time-off. This position is accountable for the execution and adherence to provider policies specific to scheduling. The Access Management Coordinator will monitor provider time-off and complete provider payroll functions in keeping with provider contracts. The Access Management Coordinator will effectively communicate the impact of physician supply on nursing, front office and other support staff and assist with the determination of staffing ratios to support patient demand. This position will demonstrate subject matter expert as it relates to clinical workflows to better formulate scheduling strategies and recommend opportunities for workflow enhancement. The Access Management Coordinator is responsible for the electronic scheduling software program and will demonstrate advance computer skills including proficiency in Epic tools and reports and Microsoft Office suite specifically advanced excel skills. The Access Management Coordinator must demonstrate ability to manage multiple demands, deadlines and tasks including heavy phone/email communications, multiple computer systems and frequent interruptions. Minimum Qualifications:

  • High School Diploma or Equivalent

  • 2 years of medical office experience with scheduling responsibility

  • Preferred: Bachelor’s degree in business, hospital administration, or related field

  • Preferred: Previous experience coordinating and maintaining provider schedules for multiple providers and clinics

  • Preferred: Electronic scheduling experience

  • Preferred: EMR experience, EPIC preferred

Essential Job Functions:

  • Coordinates and maintains all scheduling functions related to medical provider time-off including vacations, coverage for absences, etc. Maintains an accurate electronic scheduling software system

  • Adjusts provider templates to reflect approved time-off or other provider scheduling demands

  • Communication with providers and clinic staff

  • Participate in quality improvement teams related to operational issues
