Brief Position Overview

General Statement
MSU was founded in 1893 as the Agricultural College of the State of Montana. Today, the College of Agriculture is an integral part of fulfilling MSU’s land grant mission serving the sons and daughters of our state. The Montana Agricultural Experiment Station ( MAES ) creates opportunities for students and faculty to excel through hands-on learning; to serve through campus and community engagement; to explore unique solutions to distinct and interesting questions; and to connect Montanans with the global community.
Duties and Responsibilities
Office Operations
Act as initial point of contact for incoming phone and visitors; provide administrative support for faculty, staff, and students; and maintain office coverage.
Order and maintain departmental supplies and materials and assist Business Operations Manager and Student Success Coordinator with office operations needs.
Assist with room and event reservation requests and room/office preparations.
Submit work orders/tickets for repairs or services, such as telephone updates and activation, facility repairs, access/key requests, IT, E-scrap pick-up, surplus pick-up or requests.
Train and direct student workers.
Assist with department events.
Departmental Communications
In collaboration with the Business Operations Manager, ensure effective, transparent, and concise communications to department stakeholder groups via websites, newsletters, social media, and calendar events.
Edit and proofread department forms, publications, or other materials as needed.
Distribution of incoming and outgoing mail and bulk mail.
Required Qualifications – Experience, Education, Knowledge & Skills
Bachelor’s degree or two years of relevant work experience in a “first point of contact” role (answering phone calls, handling and directing walk-in traffic, directing various constituents to appropriate information sources).
Experience in, or ability to learn, publishing software.
Experience in, or ability to learn, website maintenance.
Preferred Qualifications – Experience, Education, Knowledge & Skills
Demonstrated experience working directly with faculty and students.
Demonstrated experience organizing and prioritizing multiple work assignments, meeting deadlines, and exercising adaptability with close attention to detail, while maintaining a positive and professional demeanor.
