Position Details
General Statement
The associate director reports to the director and serves as a member of the leadership team within the Financial Aid Services. The associate director ensures that processing and customer service activities are managed effectively and efficiently and in ways that keep Montana State University in compliance with federal regulations and requirements. The position will provide leadership and direction consistent with the university and office mission.
The Financial Aid Office primary function is supporting students in financing their higher education. The office works with primary and secondary partners to support this goal. This position supports our front line with an encompassing knowledge of the application process and the challenges that come with it. This position more directly supports the secondary systems that stand behind the application. This requires knowledge of the federal systems that allow for application review, processing, awarding, disbursement, and program management. Duties and Responsibilities
Manages personnel functions including recruitment, training, professional development, performance evaluation and supervision of staff who are not direct reports of the Director.
Allocates and monitors office workload to achieve maximum efficiency within current resources.
Oversees aspects of Title IV Federal Programs to support compliance.
Participate in revenue and expenditure projections for scholarship funding planning purposes.
Maintains collaborative working relationships with a variety of university departments including Registrar’s Office, Admissions, Student Accounts, Veteran’s and Disability Services, and Student Success.
Makes professional judgment decisions, where such decisions are appropriate, for students in special situations.
Researches and responds to student complaints and inquiries that have been escalated to the President or VP of Student Success as assigned by director.
Participates in outreach and gives aid presentations.
Membership in other committees and councils as assigned.
Required Qualifications – Experience, Education, Knowledge & Skills
Bachelor’s degree in a related field, or a combination of education and/or applicable experience.
Demonstrated experience with student financial aid regulation and program requirements.
Fiscal management experience.
Preferred Qualifications – Experience, Education, Knowledge & Skills
Five years of professional work experience in a public university setting. Master’s Degree in relatable field can substitute for years of experience.
Supervisory Experience.
Demonstrated Successful Leadership Outcomes.
Working knowledge of Ellucian’s Banner student information system, or relational database.
The Successful Candidate Will
Possess the ability to interpret Federal, State, and University financial aid regulations, policies and guidelines as well as develop and implement financial aid administrative processes in full compliance with stated requirements
Possess extensive knowledge of financial aid programs, criteria, and eligibility requirements
Possess extensive knowledge of the FAFSA application and federal needs analysis
Must possess good attention to detail, critical thinking capability and problem-solving skills; ability to identify and correct errors using reports and queries; incisive analytical abilities
Must exercise good judgment and decision-making ability
Possess leadership, supervision, and management skills
Possess the ability to effectively communicate complex information both verbally and in writing
Possess public speaking ability
Possess good organizational skills: demonstrated experience organizing and prioritizing large volumes of detailed work, meeting deadlines, and adapting to shifting priorities
Possess working knowledge of the personnel and programs in various state, federal, and local agencies
Possess the ability to collaborate with other departments and areas of the University
Possess the ability to promote good will and represent the office in a favorable manner
Possess fiscal management and record-keeping skills
Possess the ability to work in a fast-paced team-oriented environment
Must demonstrate initiative and strong commitment to higher education and student success

Ability to work evenings and weekends as needed.
