Bozeman Health BHMG Operations Supervisor (FT- 1 fte) in Bozeman, Montana

Position Summary:

The BHMG Operations Supervisor is responsible for assisting with planning, directing, organizing, and monitoring system-wide clerical front office functions for the Bozeman Health Medical Group BHMG, including partnering with clinic management on staffing in clinic operations subject to policies, budgets, objectives, and directives mandated by regulatory agencies, DNV, and the hospital administrative team. Supervises and performs duties with clerical front office staff to ensure that all daily tasks are efficiently and accurately completed related to office policy and procedures. Performs all normal supervisory responsibilities including but not limited to hiring, training, coaching, monitor access metrics, training and ongoing education around all clerical functions and evaluating employees ongoing performance with progressive improvement as needed. Ensures standardized clerical functions in coordination with access initiatives to promote patient appointing and staff competence across a clinical setting.

Minimum Qualifications:

  • Associate degree; equivalent combination of education and experience may be considered

  • Two (2) years of supervisory experience

  • Preferred: Bachelor's Degree in health or business administration

  • Preferred: Certified Specialist Physician Practice Management (HFMA) or Certified Medical Practice Executive (MGMA)

Essential Job Functions:

In addition to the essential functions of the job listed below, employees must have on-time completion of all required education as assigned per DNV requirements, Bozeman Health policy, and other registry requirements.

  • Assists leadership with broad operations to ensure the provision of comprehensive services in compliance over multiple locations with all regulatory agencies and hospital requirements.

  • Ensures a collaborative approach to long-range strategic operational planning, care and service design, and development of organizational policies, which reflect the mission of the organization over multiple locations.

  • Coordinates and oversees the organization-wide services. Continuously assesses, measures, and improves performance.

  • Demonstrates responsible management of all departmental resources.

  • Demonstrates clinical/technical and managerial competency. Ensures staff professional needs are met.

  • Leads, teaches, inspires, helps, and consistently demonstrates hospital behavioral standards.

  • Strong leadership managerial skills; ability to plan, delegate, monitor and improve work performance

  • Demonstrates sound judgment, patience, and maintains a professional demeanor at all times

  • Exercises tact, discretion, sensitivity, and maintains confidentiality

  • Performs essential job functions successfully in a busy and stressful environment

  • Learns current and new computer applications and office equipment utilized at Bozeman Health

  • Strong interpersonal, verbal, and written communication skills

  • Analyzes, organizes, and prioritizes work while meeting multiple deadlines

Physical Requirements

  • Lifting, Pushing, and Pulling: Lift 50 pounds of weight (pick up materials, move equipment, etc.) Carry equipment/supplies. Use upper body strength (repair and maintenance work, etc.)

  • Extended Hours: The role may involve working for extended periods, requiring sitting, walking, or standing for eight or more hours daily.

  • Flexible Schedule: The position may necessitate working beyond a standard 40-hour workweek, including weekends and after-hours shifts.

  • On-Call Availability: On-call work may be required to respond to organizational and patient needs promptly.

  • Effective Communication: Proficient in effective communication, both in person and through various technologies.

  • Handling Challenging Situations: The role may involve dealing with upset individuals, requiring the ability to de-escalate situations and work effectively with frustrated patients or families.

  • Repetitive Tasks: Ability to perform repetitive tasks as needed to fulfill job responsibilities.

  • bloodborne pathogens, such as blood, bodily fluids, or tissues.

  • radiation in settings where medical imaging procedures are performed.

  • various chemicals and medications used in healthcare settings. Job tasks may involve handling cleaning products, solvents, paint, disinfectants, and other substances.

  • infectious diseases due to contact with patients in areas that may have contagious illnesses.
