Bozeman Health Clinic Abstrator in Bozeman, Montana

Position Summary:

The Clinic Abstractor abstracts clinical data from the medical record and is responsible for the retrieval, analyzing and validation of clinical data, and the collection of numerous complex data elements, into the electronic health record (EHR). Performs quality audits, utilizing a data entry and cleaning database (EC Reconciliation) to insure all available data has been abstracted, updated and recorded prior to scheduled appointment and ongoing abstraction to keep the EHR record current. They provide physicians and researchers with data needed to maintain quality care through peer review and to compare our clinical performance with recognized standards. This role functions as a medical records technician.

Minimum Qualifications:

  • High School Diploma or equivalent

  • One (1) year medical clinical/clerical work experience

  • Experience using Electronic Health Record operating systems

  • Preferred: Associate’s Degree in Healthcare related field

  • Preferred: Certification as a Registered Health Information Technician (RHIT), Certified Coding Specialist (CCS) or Certified Professional Coder (CPC)

  • Preferred: Completion of Medical Records Technician program

Essential Job Functions:

In addition to the essential functions of the job listed below, employees must have on-time completion of all required education as assigned per DNV requirements, Bozeman Health policy, and other registry requirements.

  • Input data accurately into EHR system from paper charts and/or EHR chart

  • Research and identify key medical elements to be abstracted using a variety of skills

  • Coordinate with clerical and clinical staff to ensure patient charts are fully abstracted prior to appointments

  • Reviews, modifies, and recommends changes to policies and procedures to improve data management

  • Analyzes, organizes, and prioritizes work while meeting multiple deadlines

  • Works varied shifts as scheduled and/or needed

Physical Requirements

  • Lifting, Pushing, and Pulling: Lift 30 pounds of weight (pick up supplies, move equipment, etc.) Carry equipment/supplies.

  • Extended Hours: The role may involve working for extended periods, requiring sitting, walking, or standing for eight or more hours daily.

  • Flexible Schedule: The position may necessitate working beyond a standard 40-hour workweek, including weekends and after-hours shifts.

  • On-Call Availability: On-call work may be required to respond promptly to organizational, patient, or employee needs.

  • Effective Communication: Proficient in effective communication, both in person and through various technologies.

  • Handling Challenging Situations: The role may involve dealing with upset individuals, requiring the ability to de-escalate situations and work effectively with frustrated patients, families, or employees.

  • Repetitive Tasks: Ability to perform repetitive tasks as needed to fulfill job responsibilities.

Tasks Include Potential Exposure: Job tasks may involve exposure to:

  • bloodborne pathogens, such as blood, bodily fluids, or tissues.

  • radiation in settings where medical imaging procedures are performed.

  • various chemicals and medications used in healthcare settings. Job tasks may involve handling cleaning products, disinfectants, and other substances.

  • infectious diseases due to contact with patients in areas that may have contagious illnesses.
