Brief Position Overview

General Statement

Under general direction of the Enterprise Services Group and the Data Systems Team Lead, the Student Retention Customer Relations Analyst supports Montana State University student retention Customer Relationship Management ( CRM ) systems and stewardship, and other CRM products as needed. The Student Retention Customer Relations Analyst shepherds planning, requirements gathering, sustainment coordination, serves as an application administrator, and supports adoption and continued utilization of student retention Customer Relationship Management systems at MSU . This position is housed in the University Information Technology Enterprise Services Group.

Duties and Responsibilities

Planning and Oversight

  • Collaborate with campus representation to outline processes and expectations, and to gather business requirements

  • Create and execute project work plans and revise as appropriate to meet changing needs and requirements

  • Communicate deliverables and timelines regularly to a stakeholders

  • Organize and build requirements within the MSU campuses’ student CRM solutions

  • Manage day-to-day operational aspects of retention CRM upgrades and configuration changes

  • Encourage employees to attend online retention CRM training classes and recordings where applicable

  • Conduct product training where online training classes and recordings are not available

  • Ensure project documents are complete, current, and stored appropriately

  • Maintain in-depth knowledge of the MSU campuses’ retention CRM solutions, monitor and plan for new product releases

  • Coordinate with the student retention CRM solution vendor and 4 campus stakeholders

  • Develop functionality, upgrade, and new release test plans

  • Lead upgrade and testing efforts related to student retention CRM product and integration enhancements collaborating with end-users and technical representatives as needed

  • Open, track and facilitate defect reporting and resolution, as well as product enhancement requests

  • Participate in retention CRM user-communities and professional development opportunities some of which may require occasional travel.

  • Develop product training materials

System Administration and Technology Management

  • Coordinate and implement appropriate security and access controls in student retention CRM solutions

  • Implement appropriate configuration strategy in support of recruitment and retention activities across the 4-campus MSU enterprise

  • Implement functionality, security, and administrative technical controls

  • Coordinate data integration requirements with technical and business stakeholders.

  • Develop and sustain expertise to successfully administer student CRM appropriately, and provide guidance to stakeholders and system users.

    Required Qualifications – Experience, Education, Knowledge & Skills

  • Bachelor’s degree in business administration, technology, or related field plus progressive experience in information systems management or an equivalent combination of education and experience.

  • Demonstrated experience with desktop productivity tools such as Microsoft Office Products (specifically Excel and PowerPoint).

  • Demonstrated experience managing, leading or playing a key role in the implementation of information technology systems.

  • Experience in higher education.

  • Experience in retention and/or recruitment in higher education.
