The Degree Programs and Certificates Specialist is a key member of MSU’s Graduate School team of committed professionals and is responsible for the review and audit of students’ Programs of Study and records and certification of graduate students’ degrees. This person interacts with graduate coordinators, faculty, staff, and graduate students with the common goal of helping the student to succeed and maintaining MSU’s high-quality graduate degree programs.
Duties and Responsibilities
Collaborate with department graduate coordinators, faculty, and administrative staff regarding Graduate School policies and department recommendations.
Audit official student records verifying successful completion of degree requirements and officially certify graduate degrees for the University.
Communicate with students and departments regarding policy compliance.
Assist students regarding their student status, deadlines, program process.
Problem-solve with students, faculty, and staff.
Approve graduate committee membership, comprehensive examinations and thesis/dissertation defenses, collaborating with faculty, department heads, and the Dean of The Graduate School when appropriate.
Review and approve student/department appeals to policy and letters of exception.
Ensure compliance of Graduate School, University Graduate Council (UGC), and Board of Regents (BoR) policy.
Actively participate in UGC including writing policy proposals, drafting policy changes, assisting departments in preparing and submitting academic proposals, facilitating UGC meetings, serving as a resource to faculty, staff, administrators, and students regarding current GS policy, and advising UGC on policy questions/issues.
Review policies and procedures and make recommendations for continuous improvement in graduate degree requirements.
Develop, facilitate, and present professional development workshops for graduate students and trainings for faculty and staff.
Perform other duties as assigned/requested.
Required Qualifications – Experience, Education, Knowledge & Skills
Bachelor’s Degree in a related field or, an equivalent combination of relevant education and/or experience.
Demonstrated experience working independently, interpreting policies and procedures, exercising sound judgment, and making consistent decisions.
Demonstrated proficiency using personal computers and software, including word processing, spreadsheets, electronic calendars, and e-mail. Microsoft Office Suite strongly preferred.
Preferred Qualifications – Experience, Education, Knowledge & Skills
Possess a Master’s Degree in Higher Education or significant related graduate education experience.
Significant experience working independently with clients/constituents: a. Examining, analyzing, and interpreting records, processes, policies, and procedures for compliance with University, state, and federal laws, rules, and regulations. b. Recommending and following-up on changes with applicable personnel.
Familiarity with Banner, SAIS, and DegreeWorks or similar university software/relational databases.
Familiarity with higher education policies and procedures.
Demonstrated experience conducting meetings/trainings in a higher education setting; demonstrated ability to present in front of a large audience.
