Brief Position Overview

This position is responsible for all day-to-day functions of the MSU Extension Webstore, Distribution Center, and associated websites, including inventory management and supervision of student support staff. Responsible for order fulfillment & shipping, the printing of “print-on-demand” publications, and ordering supplies as needed. Works closely with budget personnel and Director to manage all MSU Extension Webstore and Distribution Center financials. Provides general administrative support and customer service as required.

General Statement

MSU Extension improves the lives of Montana citizens by providing unbiased research-based education and information that integrates learning, discovery and engagement to strengthen the social, economic and environmental well-being of individuals, families, and communities. MSU Extension’s Distribution Center serves as the central book store for MSU Extension, providing educational resources, marketing items and merchandise for Extension faculty and staff as well as Extension clientele.

This position is responsible for managing store inventory, ensuring that inventory is well organized, in the appropriate location and all items are accounted for. Responsible for order fulfillment & shipping, the printing of “print-on-demand” publications and ordering supplies as needed. Provides general administrative support and customer service as required.

Duties and Responsibilities

  • Keep accurate and detailed inventory records in our online store database. Includes information such as shelf location, inventory amounts, printing history etc.

  • Remain current with new technology in warehousing/inventory control, and publication technology, and assure that extension publications are available in the most up-to-date format.

  • Work with Extension staff to assure that popular publications are marketed appropriately, based upon information gathered from previous sales and other historical data.

  • Promote publication sales, determine prices/fees, and market publications, all in coordination with the Communications team.

  • Work with the Extension Communications team to ensure digital publications and webstore follow MSU’s accessibility requirements.

  • Responsible for conducting a complete hand count inventory of all publications at a minimum of twice yearly, and at other times if needed. This includes our off-site storage facility, ensuring all boxes are in the proper location.

  • Keep detailed records, using the online store software, regarding quantity shipped, date shipped and other order details.

  • Manage subscriptions of recurring publications, such as Lives & Landscapes Magazine ensuring subscription orders are processed in a timely manner.

  • Contribute to strategies that increase the subscription base of Lives & Landscapes Magazine

  • Print MontGuides, fact sheets and other on-demand printing items as they are ordered. Includes formatting and sending jobs to the printer from computer.

  • General office duties as assigned, including, filing, written correspondence, data entry, collate packets, publications & other information.

    Required Qualifications – Experience, Education, Knowledge & Skills

  • Progressively responsible experience in inventory management, administrative support or related experience, or an equivalent combination of education and experience.

  • Demonstrated experience maintaining detailed information with a high degree of accuracy, with excellent attention to detail.

  • Excellent time management skills, with the ability to assume new duties and prioritize activities with an ever-changing list of activities

  • Demonstrated experience with basic technology (please indicate computer programs used and how).

    Preferred Qualifications – Experience, Education, Knowledge & Skills

  • Knowledge of point-of-sale systems and e-commerce platforms, such as Shopify, BigCommerce, etc.

  • Bookstore or online retail sales experience.

  • Knowledge of Extension and its publications & resources
