Brief Position Overview

The Division of Student Success ( DSS ) is seeking a highly organized and motivated individual for the position of Division Specialist. The individual in this position will be an integral part of the Division team and will work with students, faculty, staff, parents and off campus partners. This position will serve as the first point of contact for the office, and perform many of the daily operations along with being part of a team of Division Specialists that will bring a support network for work, processes, and engagement. These positions will either report to the Director or to the Assistant to the VP. There is currently one vacant position: Office of Disability Services

General Statement

The Division of Student Success delivers nationally recognized student services which facilitate the transformation of student’s lives. We serve the needs of a thriving and diverse community of learners by fostering engagement, personal growth, and leadership to advance students’ academic success. The Division is comprised of 11 units that serve students in many ways. This position will be supporting the Office of Disability Services within the Division.

Duties and Responsibilities

  • Provide functional support and project support for the office.

  • Run reports from computer databases to gather. This is not limited to a specific office as this position may provide support for Division-wide projects.

  • Coordinate logistics for events and projects including booking locations, handling refreshments, designing and sending invitations, handling reservations, and gathering/stuffing handout materials.

  • Coordinate communications for the office.

  • Produce print and digital media for the event and potentially for Division-wide events or programs.

  • Maintain and update webpages.

  • Organize and maintain records.

  • Manage calendars for the director, supervisor or other appropriate staff in the office.

  • Schedule and conduct daily meetings.

  • Assist the executive assistant to the vice president by providing support for Division projects and programs.

    Required Qualifications – Experience, Education, Knowledge & Skills

  • Bachelor’s degree or equivalent work experience as an advanced administrative assistant or operations manager for a large, complex organization.

  • Successful experience completing complex tasks independently with minimal supervision.

  • Experience in a professional office setting.

  • Experience providing functional support and project support for a complex office.

  • Coordination of meetings, events or large group meetings.

  • Develop communications to a wide variety of audiences (executives, parents, students, etc).

    Preferred Qualifications – Experience, Education, Knowledge & Skills

  • Knowledge of MSU policies and procedures.

  • Experience with coordinating or working with fiscal shared services, administration, and human resources:

  • Ability to obtain information from Banner and SAIS web-based reports (including the student module).

  • Demonstrated ability to display sound judgment and independent decision making.
