Employer Services Program Lead

Employment Status: Full-Time (.75 or greater)

Hours per Pay Period: 1.00 = 80 hours (Non-Exempt)

Starting Wage DOE + Bozeman Differential

Works with the Occupational Health department to sell services and set up accounts for new service lines and clients. Under general supervision, facilitates the customer service and financial activities relating to contracted employer services through the Occupational Health Department. Duties include follow-up on employer services referrals, contract renewals, daily and monthly billing for services rendered, and responding to customer or employer inquiries. Responsible to maintain accurate and timely information regarding utilization of services and to provide a variety of reports to diverse groups. Configure, Implement and monitor office procedures that facilitate client/employer group needs.

Essential Job Functions

  • Supports and models behaviors consistent with Billings Clinic’s mission, vision, values, code of business conduct and service expectations. Meets all mandatory organizational and departmental requirements. Maintains competency in all organizational, departmental and outside agency standards as it relates to the environment, employee, patient safety or job performance.

  • Meet with company and clients regarding services – out of office add rating (25%) per PSM

  • Facilitates enrollment activities, patient/employee registration and responds to inquiries regarding the process. Develops and maintains records and files regarding contracts, membership, services, etc. in an organized, timely and accurate manner. Tracks contract renewal dates, coordinates with the Marketing Associate from Marketing & Planning Department and/or Manager to identify any needed changes/updates and initiates new contract to employer groups as they near expiration. Attends employer group employee meetings with Billings Clinic RNs to present contract terms, benefits and answer questions, conduct on-site health assessments, assists with health fairs, and facilitates needed paperwork or registrations within the information system.

  • Coordinates and implements with Reg Sched Lead regarding coverage, training, staffing, consortium.\

  • Participates in meetings with regards to multiple areas of service lines and implementation of policies, processes and work flows that relate to the Occupational Health and Employee Health department.

  • Keys daily employer group charges for all facilities. Inputs on-site charges, monthly charges, immunization records, and generates reminder letters. Generates employer group billing statements on a monthly basis. Reconciles and tracks all charges, invoices and payments. Responds to potential client inquiries as referrals are received. Follows up on all patient/employer inquiries. Investigates, troubleshoots and coordinates resolution of non-routine problems. Refers more complex problems to the Manager or other appropriate person for handling.

  • Audits accounts by verifying that reimbursement amounts are appropriate, coordination of refunds, if appropriate, coordinating adjustments when necessary, claims appeals or resubmissions, gathering service information (COC and Records) when appropriate, and moving balances from insurance responsibility to patient responsibility when appropriate.

  • Maintain branch clinic services, such as Miles City, Livingston, Bus, Onsite, etc

  • Identifies needs and sets goals for own growth and development; meets all mandatory organizational and departmental requirements.

  • Maintains competency in all organizational, departmental and outside agency safety standards relevant to job performance.

  • Performs other duties as assigned or needed to meet the needs of the department/organization.

  • Meets regularly with the Employee Assistance Program (EAP) counseling staff to gather employer statistics, employer billing information, and EAP utilization information. Bills monthly EAP charges. Give to Jodi

  • Responsible for the submission of primary, secondary and tertiary insurance claims. Generates telephone calls to insurance carriers to follow-up on insurance claims to ensure maximum reimbursement and timely payments. Follows up on denied, challenged or problem claims.   • Extra Essential Job Functions for Lead Only

  • Responsible to create, maintain and strengthen accounts and relationships by providing information to all contracted employers as needed to keep clients informed of services. Updates contract summary sheets on a monthly basis. Communicates with the department staff regarding updates on changes, renewals, discontinuation of services, costs, etc. Responds to inquiries regarding services, billing information, payments and utilization stats. Writes and generates monthly reports for employers on member utilization.

  • Posts employer group payments as received. Provides guidance and/or assistance to the cashiers for the accurate posting of payments received. Add End of Month reconciliation and record keeping.

  • Coordinates closely with the Patient Accounts, Laboratory, Decision Support and Coding, Compliance and Auditing Departments to ensure accuracy of registrations, billing, charges, charge codes, pricing, and coding.

  • Responsible for audit and payment of Occ Health ancillary services, such as Ref Lab account, Xray, EKG, MRI, CT, PAML and UoW invoices. Investigate any errors and Hand off to appropriate lead.

    Minimum Qualifications

Education

  • Minimum of High School or GED

Experience

  • One (1) year more progressively responsible clerical/technical position

  • Previous health care related experience, preferred

  • Previous Billings Clinic experience, preferred
