Brief Position Overview

Under the supervision of the Assistant Registrar, this position performs a variety of technical and customer service support tasks in support of the Registrar’s Office and Student Success. Because this position has extensive contact with students, staff, faculty and the public, the person in this position must possess the skills to tactfully and diplomatically respond to a wide variety of contacts. The work is highly detailed and requires teamwork, problem-solving skills, and interpretation and implementation of MUS and MSU policies and procedures. Personal initiative and judgment is essential to deal effectively with highly confidential and restricted academic record information.

Position Details

General Statement

Under the supervision of the Assistant Registrar, this position performs a variety of technical and customer service support tasks in support of the Registrar’s Office and Division of Student Success. Because this position has extensive contact with students, staff, faculty and the public, the person in this position must possess the skills to tactfully and diplomatically respond to a wide variety of contacts. The work is highly detailed and requires teamwork, problem-solving skills, and interpretation and implementation of MUS and MSU policies and procedures. Personal initiative and judgment is essential to deal effectively with highly confidential and restricted academic record information.

Duties and Responsibilities

  • Evaluation, review, maintenance of processes and transactions related to the permanent academic records of former and current students

  • Investigate and monitor students’ completion of degree requirements

  • Participate in end-of-term activity with final grades, academic status and record updates; evaluate academic program completion and post baccalaureate degrees

  • Initiate contact with students and staff to advise and resolve problems

  • Prioritize duties to meet deadlines; advise students on transcript notations and interpretation

  • Develop and maintain training materials for office staff as well as members of the campus community that may include written, video, or PowerPoint as delivery platform.

  • Maintain and generate complex data sets.

    Required Qualifications – Experience, Education, Knowledge & Skills

  • Two years post-secondary education plus three years administrative experience which includes highly detailed work assignments and extensive contact with the public or an equivalent combination of education and/or experience.

  • Demonstrated software experience including relational databases, spreadsheets, word processing.

  • Demonstrated experience composing, formatting, and proofing business correspondence and general office materials accurately and professionally.

    Preferred Qualifications – Experience, Education, Knowledge & Skills

  • General knowledge of higher ed. curricula, policies and procedures.

  • Experience working with enrollment and degree auditing software and/or relational database.

  • A Baccalaureate degree, or an equivalent combination of education and/or experience.

  • Experience developing multi-media training materials

  • Demonstrated competence exercising initiative, good judgment, and making consistent decisions when interpreting and applying policies and procedures.

  • Demonstrated competence maintaining, processing, and verifying detailed records with a high degree of accuracy.

  • Demonstrated competence organizing and prioritizing multiple work assignments, meeting deadlines, and exercising adaptability to changing priorities, in a busy office setting.
