Our goal is to foster a culture of environmental entrepreneurship.PositionReporting to the Director of Operations, the Executive Assistant is responsible for assisting in the daily operations of PERC in a role that is best described as a concierge to PERC’s staff, fellows, and visitors.The successful candidate will be service-oriented, a self-starter, and show an initiative to both identify and take ownership of needs in support of PERC’s operations. This position also requires a team player who is willing to pitch in outside of the confines of their job description. This is a 40 hours per week non-exempt position; 5 days per week. This is a non-supervisory role with no direct reports. The work schedule for this position allows for some flexibility.ResponsibilitiesExecutive Support 30% Provide assistance to executive level staff, such as writing and editing emails, drafting memos, and preparing communications on the executive’s behalf Maintaining comprehensive and accurate records including expense tracking Manage the executive’s calendars, including scheduling, prioritizing the most sensitive matters, meeting reminders and any required catering Book and manage travel accommodationsFront Desk & General Administrative Support 30% Welcoming PERC visitors and answering and/or direct incoming phone calls Assisting staff, visiting fellows, and visitors with basic computer setup and other general support including data entry Working with the Operations Director to support positive organizational culture through internal and external staff engagement opportunities Provide global administrative support to all of the staff; duties include but are not limited to copies, scans, email/voicemails and similar smaller projects Sort, distribute, and process incoming mail and packages; prepare outgoing mail and packages Purchase office supplies and maintain supply vendor relations, including stocking the employee kitchen Support day-to-day operations including general light building maintenance, and coordinating staff meetings and lunchesConference, Event & Board Support 15% Provide basic conference/meeting/event support including set-up/take-down in event space as well as assisting PERC’s Conference Coordinator in program management Coordinating smaller PERC workshops/events Set up conference room for meetings and events including the technology, temperature control, and refreshmentsDevelopment Support 15% Log donations/updates into SalesForce and monthly Salesforce/Quickbooks reconciliation Facilitate tax receipt process on a daily/weekly basis, as appropriate Additional activities, such as thank you calls, grants support, as they ariseIT Support 10% General IT support for staff team Main point of contact with IT company; schedule maintenance and respond to technical issues Order equipment as needed through IT CompanyA Successful Candidate Will enjoy working with a group of thoughtful, high achieving individuals, dedicated to advancing PERC’s work in a supportive, team driven environment Will be service-oriented and possess a desire to provide a concierge approach to supporting PERC’s mission Will be able to identify needs and take initiative without much supervision Will have a successful track record with being flexible with task priorities, adaptable with tasks, and manage time according to changing organizational priorities Will have excellent communication and relationship building skills with an ability to prioritize, negotiate, and work with a variety of internal and external stakeholders Will have the ability to multitask and assume diverse responsibilities in a fast-paced environment Will have the ability to work closely with all members of PERC’s team in a productive and positive manner Will have the personal qualities of integrity, credibility, and dedication to the mission of PERCWorkplace Culture PERC is a small, tight-knit office community with a wide variety of expertise, skills, and organizational responsibilities.
