Brief Position Overview

This position is responsible for all day-to-day functions of the MSU Extension Webstore, Distribution Center, and associated websites, including inventory management and supervision of student support staff. Responsible for order fulfillment & shipping, the printing of “print-on-demand” publications, and ordering supplies as needed. Works closely with budget personnel and Director to manage all MSU Extension Webstore and Distribution Center financials. Provides general administrative support and customer service as required.

General Statement

MSU Extension improves the lives of Montana citizens by providing unbiased research-based education and information that integrates learning, discovery, and engagement to strengthen the social, economic and environmental well-being of individuals, families, and communities. MSU Extension’s Distribution Center serves as the central bookstore for MSU Extension, providing educational resources, marketing items and merchandise for Extension faculty and staff as well as Extension clientele.

This position is responsible for managing store inventory, ensuring that inventory is well organized, in the appropriate location and all items are accounted for. Responsible for order fulfillment & shipping, the printing of “print-on-demand” publications and ordering supplies as needed. Provides general administrative support and customer service as required.

Duties and Responsibilities

  • Maintain accurate inventories of publications and merchandise by keeping detailed records, conducting hand counts, and establishing inventory best practices. Includes information such as shelf location, inventory amounts, printing history, etc.

  • Remain current with new technology in warehousing/inventory control, and publication technology, and ensure that extension publications are available in the most up-to-date format.

  • Work with Extension staff to ensure popular publications are marketed appropriately, based upon information gathered from previous sales and other historical data.

  • Promote publication sales, determine prices/fees, and market publications in coordination with the Extension Communications team.

  • Work with the Extension Communications team to ensure digital publications meet MSU’s accessibility requirements.

  • Manage subscriptions of recurring publications, such as Lives & Landscapes Magazine, and contribute to strategies that increase subscriptions.

  • Oversee the on-demand printing of MontGuides, fact sheets, and other publications. Includes formatting, sending print jobs from a computer, and troubleshooting the printer/copier machine.

  • Complete general office duties as assigned such as filing, written correspondence, data entry, collating packets, publications & other information.

  • Provide support to Extension faculty and staff and the public via phone, email, and in person, often as the first point of contact for Extension Communications.

  • Utilize sales data to inform purchasing decisions and make purchases as needed to maintain appropriate levels of inventory.

    Required Qualifications – Experience, Education, Knowledge & Skills

  • Progressively responsible experience in retail sales, customer service, inventory management, administrative support, or related experience, or an equivalent combination of education and experience.

  • Demonstrated experience maintaining detailed information with a high degree of accuracy, with excellent attention to detail.

  • Excellent time management skills, with the ability to assume new duties and prioritize activities with an ever-changing list of activities

  • Demonstrated experience with database and spreadsheet management and Microsoft programs (Word, Excel, etc.) or equivalent.

    Preferred Qualifications – Experience, Education, Knowledge & Skills

  • Knowledge of point-of-sale systems and e-commerce platforms, such as Shopify, BigCommerce, etc.

  • Bookstore or online retail sales experience.

  • Knowledge of Extension and its publications & resources
