Facility Services Manager Bozeman

Employment Status: Full-Time (.75 or greater)

Hours per Pay Period: 1.00 = 80 hours (Exempt)

Starting Wage DOE

Provides leadership and direction for all aspects of facility services. This includes maintenance service, repairs, project development and management of Billings Clinic Bozeman including regional sites and wholly owned facilities. This position will coordinate and manage the maintenance of the areas of grounds, along with the maintenance and repairs of the plumbing, electrical, boiler systems, elevators, and a variety of medical and general equipment including HVAC and refrigeration systems. This position will also undertake activities for cleaning up after projects, snow removal, carpentry, painting and plastering and performing manual repairs. This position will interact with all departments across the organization and will interact with different vendors and regulatory agencies. Ensures the delivery of quality, cost-effective services in line with the Billings Clinic mission, vision, values, and goals. This position will report directly to the Director of Facility Services on the Billings Campus.

Essential Job Functions

General Maintenance

•Administers and directs a program to maintain facility buildings, grounds and equipment.

•Administers and assists with the Safety and Security department, its’ policies, budgets and implementation.

•Assists in the planning and recommends development of physical facilities.

Participates in the evaluation, selection and integration of health care equipment, technology and information management systems that support quality of care/financial needs and the efficient use of resources.

•Recommends, implements, and evaluates plans and systems that assure sufficient number of qualified and competent staff to provide services.

•Supervising staff, implementing cost control methods, monitoring progress on projects, reviewing cost estimates, fiscal control, program development; quality of services; short and long range planning to achieve goals and objectives/

•Manages overall facility operations and maintenance, site safety, reduction in energy consumption, program development, and service priorities.

•Coordinates with Billings Clinic downtown campus and Bozeman leadership and staff to assure continuity in pursing service line/organizational goals and synergy in implementing plans and problem resolution.

•Assists in developing departmental budgets, approves orders for equipment and supplies as authorized and oversees facility related department variance reporting.

•Assures that Infection Control and Universal Precautions practices are maintained when performing maintenance procedures.

Building Maintenance

•Establishes policies and procedures for facility maintenance; schedules repairs and remodeling; coordinates services provided by outside contractors; oversees energy production and waste disposal; and serves as the liaison with outside officials during inspections.

•Performs routine maintenance and repair on the facility and equipment to include plumbing, plastering, painting, electrical, carpentry, mechanical, etc., as directed, in accordance with established procedures.

•Ensures the monitoring of entrances and exits during Emergency Management Situations to include flood control and unapproved and unlawful entry.

•Replaces burned out light bulbs, to include, exit lights, overhead lights, fluorescent lights, room call lights, etc., and perform cleaning duties wherever necessary.

•Services heating and cooling units/systems, as specified by the manufacturer, and in compliance with established policies and procedures.

•Follows established fire safety policies and procedures.

•Maintains general facility in good repair, ensuring a safe, clean and orderly environment.

•Analyzes costs and work schedules, sets priorities, expedites operations and repairs.Equipment and Supply Functions

•Reports equipment malfunctions or breakdowns in a timely manner.

•Establishes and administers preventive maintenance programs.

•Assures maintenance supplies have been replenished in work areas.

•Assures the facility and its equipment is properly maintained for patient and employee comfort and convenience.

•Conducts investigations and preparation of reports on accidents, incidents and suspicious activities and warnings of violators.

•Coordinates equipment disposition program.

•Follows established safety precautions when performing tasks and when using equipment and supplies.

Ground Maintenance

•Performs routine maintenance on grounds, parking areas, driveways, etc., by cutting, trimming, policing, sweeping, shoveling, etc.

•Works closely with local contract providers who supply ground maintenance services and ensures contractual requirements are being met for timely removal of snow; grounds are mowed and watered, etc.

Project Support

•Assists in the review and recommendations of the approval of plans for construction.

•Advises on structural changes and additions or modifications to the buildings and campuses of Billings Clinic.

•Interviews contractors to receive and analyze bids including blueprint analysis of proposed changes.

•Provides liaison with contractors, architects, engineers and material and equipment suppliers and all vendors affecting the facilities environment management.

•Develop and manage assigned projects as appropriate.

•Responsible for compliance to codes for City, State, Federal and OSHA standards, and life safety codes.

Safety

•Manages the local contract and contracted services provided for security.

•Assesses and reports all unsafe/hazardous conditions, defective equipment, etc. in a timely manner to prevent injuries or accidents.

•Follows all established safety procedures and precautions when performing maintenance services.

•Report all incidents/accidents to manager.

•Participates in Risk and Safety Committees. May participate and assist in the development of an internal and external disaster program.

•Completes required HAZWOPER training and supports emergency and disaster response team.

Regional and Billings Campus Support

•Practices process improvement principles to assess and improve the quality of the service provided to assigned facilities.

Other Duties

•Develops, retains, recruits, and leads a talented team committed to accomplishing the goals and objectives of Billings Clinic Bozeman.

•Adheres to administrative policies and procedures relating to human resource management.

•Demonstrates and encourages an ethic of open communication and teamwork throughout the organization. Builds an environment of shared commitment to Billings Clinic’s goals and responsibility to achieve quality outcomes.

•Provides consultation for related concerns and acts as a customer advocate by demonstrating sensitivity to ethical and legal ramifications of practice.

•Communicates frequently with other Billings Clinic maintenance personnel and other department personnel to accomplish tasks.

Minimum Qualifications

Education

•High School or GED

•2 Year / Associate Degree HVAC, Plumbing, Mechanical or Electrical Preferred

Experience

•3 years Successful and applicable work experience performing facilities maintenance for a large complex.

•1 year Successful experience in a managerial and leadership role, preferred.

•1 to 2 years of successful experience working with building regulatory codes and building regulations, preferred.

•Successful experience working in maintenance in a healthcare facility, preferred.

•Successful experience working in the building and construction industry, preferred.

Certifications and Licenses

•National Institute for Certification in Engineering Technologies (NICET) Level II certification Within 2 years of hire

•Respirator Fit Testing Within 6 months of hire

•Boilers License Preferred at hire, but must be achieved within 9 months of hire

•Commercial EPA Refrigeration License Preferred at hire, but must be achieved within 9 months of hire

•Building Owners and Managers Institute (BOMI) Within 2 years of hire

•Building Systems Maintenance Certification
