Brief Position Overview
The Faculty Led Program Manager works to develop and manage short-term faculty-led study abroad programs and oversee international travel compliance for the MSU international travelers. The responsibilities will include the administration, marketing, outreach, implementation and oversight for the overall direction and function of the programs. In addition, the Faculty-Led Manager will also be the primary contact for Group International Travel programs. The Faculty-Led Manager collaborates with team members and other on-campus entities to develop faculty-led programs and implement marketing and outreach campaigns for outgoing study abroad programs for MSU students.

General Statement
The Office of International Programs serves as the central coordinating office for MSU -Bozeman’s international activities and conducts a broad range of international programs and services for the University. The Office provides leadership in developing the international dimensions of MSU , administers international partnerships with institutions and organizations around the world, recruits qualified international students, provides special services for foreign students and scholars, offers study abroad opportunities for students, develops externally funded international programs and promotes the development of intercultural programming on the campus and in the community.
Under the supervision of the Dean for Global Engagement & International Programs, this position works closely with faculty to develop and manage short-term faculty led study abroad programs. This will include the design, implementation and oversight for the overall direction and function of the programs.
Duties and Responsibilities
Work with faculty, academic and administrative units on campus and external vendors to develop and deliver short-term study abroad programs.
Deliver pre-departure orientations for faculty, and support faculty and students during travel including emergency assistance, travel rebooking, and others to ensure safety and security of travelers.
Work with the faculty, the business manager, and the procurement office to identify and contract vendors ensure delivery of the study abroad programs and program outcomes.
Research and develop educational materials using multiple media resources to promote faculty-led programs.
Build relationships with host program coordinators, students, parents and faculty.
Provide support to the faculty led study abroad coordinator in conducting student orientations and in understanding travel insurance information.
Assist with emergencies and other relevant issues as they arise while in travel.
Manage budget responsibilities, maintain accurate records using spreadsheets and other software.
Guide faculty through the program proposal process and liaise between faculty and third-party providers.
Keep accurate program records.
Ensure the promotion and outreach and programs through social media, website, virtual and in-person information sessions.
Ensure timely processing of students through applicant to returnee stages.
Maintain handbook and resources for programs.
Collaborate with faculty and staff to apply and gain approval for group international travel programs.
Ensure that all participants are enrolled in international health insurance.
Create and maintain group international programs and associated documents in Terra Dotta database.
Support orientations for outbound travel groups when asked by faculty.
Develop and implement marketing strategies and outreach campaigns on campus and through social media and other outlets.
Use appropriate software to design and produce marketing materials with team collaboration and within allotted budget.
Demonstrate confidentiality in all matters pertaining to the programs and their participants.
Oversee the international travel compliance to ensure all international travelers are in compliance with the institutional travel policy.
Required Qualifications – Experience, Education, Knowledge & Skills
Bachelor’s degree in a related field and two years of relevant experience in international programs development or a combination of relevant education and/or experience in international programs.
Demonstrated experience communicating with a diverse group of constituents
Excellent organizational skills and demonstrated competence prioritizing, maintaining, processing and tracking detailed information with a high degree of accuracy and close attention to detail.
Demonstrated experience using personal computers and various software such as word processing, spreadsheets, database, presentation, email and internet. Microsoft Office software preferred.
Demonstrated experience in administrative support for developing and implementing programs.
Preferred Qualifications – Experience, Education, Knowledge & Skills
Experience relating to the administration of study abroad programs and/or within international education.
Successful experience in a “first point of contact” role (e.g., answering phone calls, handling and directing walk-in traffic, directing a diverse group of constituents to appropriate information sources).
Knowledge of social media trends and marketing strategies.
Experience with budget development and oversight.

Position Special Requirements/Additional Information
This position requires occasional travel domestically and internationally.
Weekend and evening work may be required based on departmental need.
