Brief Position Overview

Montana State University’s Office of Financial Aid is looking for motivated team members who are excited to actively support our students through the process of attaining financial aid and scholarships to enable our students to fulfill their educational dreams.

The Assistant Director serves as a member of the leadership team within the Financial Aid Services Office. This person provides oversight to the office as it fulfills its mission of enabling students to enroll, manage their educational finances, achieve their academic goals, and graduate in a timely manner. This position focus begins with Customer Service knowledge skills and abilities but encompasses a broader reach in planning and implementation strategies that align with institutional directives. Working under federal, state, and institutional guidelines, provide a compliant and student-centered experience through various forms of communication strategies.

Working collaboratively, the position ensures activities are managed efficiently, effectively, and supports compliant oversight on Federal and State programs. The Assistant Director coordinates functions that support student service and education to future, current and past students and families. The position may supervise staff.

Position Details

General Statement

The Office of Financial Aid Services is the primary institutional unit that assists students in

financing their educational expenses through a variety of federal, state, and institutional loan,

grants, scholarship and work programs. In administering these programs, this office works

directly with applicants for student aid, with their parents or sponsors, and with secondary school

personnel, in providing information and assistance to current and prospective recipients of aid.

Duties and Responsibilities

  • Manage and organize student access for counselors that includes face to face, email, text, and phone interactions.

  • Commit to principles of inclusive excellence in delivery of personal, user friendly, accurate, seamless, and real time information to a diverse audience.

  • Work with the Leadership Team in supporting special events and promotional and outreach campaigns.

  • Work with on campus partners on escalated and campus wide and inquiries regarding student specific situations.

  • Counsel and Advise students, parents and other appropriate clients regarding programs, the application process, and eligibility, and awards.

  • Remain current on aid related matters to successfully calculate eligibility changes and impacts of resources for recruitment and retention purposes.

  • Perform data assessment and report to Leadership on how to meet needs and address areas for improvements.

  • Manage personnel functions for those supervised.

  • Serve on a variety of financial aid committees.

  • Perform other duties as required.

    Required Qualifications – Experience, Education, Knowledge & Skills

  • Bachelor’s Degree from an accredited college or university plus progressively responsible relevant work experience (two years) with an emphasis on compliance in an administrative or public contact capacity, or an equivalent combination of relevant education and/or experience.

  • Demonstrated knowledge of the principles and purposes of financial aid programs.

  • Experience with computer software applications such as word processing and spreadsheets.

  • Experience with supervisory and management principles and practices.

  • Experience with Banner software or other database applications.

  • Experience managing programs in a higher education setting.

  • Customer Service.

  • Basic technical troubleshooting skillset .

  • Represent Financial Aid Services and its programs to others in a professional and courteous manner.
