Property and Environmental Research Center Office Manager in Bozeman, Montana

Position DescriptionReporting to the Director of Operations, the Office Manager is responsible for assisting in the daily operations of PERC in a role that is best described as a valued concierge to PERC’s staff, fellows, tenants, vendors, and visitors. This role requires a proactive, detail-oriented, and versatile individual who can manage administrative tasks while also planning and executing a comprehensive fellowship program.The successful candidate will be service-oriented, a self-starter, and show initiative to identify and take ownership of needs in support of PERC’s operations. This position requires a team player who is willing to pitch in outside of the confines of their job description. This is a non-remote 30 - 40 hours per week nonexempt position. This is a non-supervisory role with no direct reports. The work schedule for this position is Monday through Thursday, 8:30 am - 5:00 pm, and Friday 8:30 am - 4:00 pm with some flexibility.Primary ResponsibilitiesFront desk administrative supportServe as the primary point of contact for office-related inquiries and issues, greet/support visitors, and manage supplies, mail, general email, and incoming phone callsAssist with onboarding and support of staff, visiting fellows, and visitorsCoordinate outgoing contracts with a focus on accuracy and timelinessDevelop and implement office policies as neededRemain informed about best practices in office management and nonprofit administrationGeneral office support including meetings/lunch coordination, kitchen preparation (start coffee, run dishwasher, maintain snacks, etc.), and related activitiesFellowship coordinationWork with fellowship directors and research department to coordinate visiting fellowship residency dates, schedules, and contractsAct as a concierge to visiting fellows, ensuring they are provided with needed information and office setup, and arrange weekly summer happy hoursCoordinate, organize, and distribute weekly seminar emailsFacility managementManage vendor contracts for indoor and outdoor property maintenanceOversee property maintenance vendors and services to ensure effective scheduled maintenance and address urgent issues as they ariseOversee janitorial vendors and suppliesServe as the point of contact with building tenantsFinancial administrationProcess vendor invoices and approvals through the billing systemMonitor monthly invoices for discrepanciesProcess internal donation depositsDevelopment and accounting support (monthly reconciliation, etc.)Conference and event supportProvide basic conference support to PERC’s conference coordinator including planning and setup/cleanupCoordinate smaller PERC workshops, events, and celebrationsEnsure spaces are prepared for meetings and events including technology, refreshments, etc.Special projectsResponsible for swag inventory tracking and cost assignmentOther special projects as they arrive
