Bozeman Health Payroll Specialist in Bozeman, Montana

Position Summary:

The Payroll Specialist is responsible for the accurate preparation, documentation, distribution and reconciliation of payroll for the Bozeman Health system. Ensures proper approvals and processes are followed in the execution of pay completion. Completes all required payroll tax reporting and filings. Partners with Human Resources to maintain the Human Capital Management system so inputs feed accurately into the payroll processing workflow. Serves as a professional resource for the organization, staying current on rules and regulations. Coordinates the requests for Retirement Plan distributions and initiates payouts, tax submissions and reporting requirements.

Minimum Qualifications:

  • High School Diploma or Equivalent

  • Five (5) years of accounting/bookkeeping/payroll experience with Associates Degree in Accounting OR seven (7) years of accounting/bookkeeping/payroll experience with High School Diploma or Equivalent

  • Two (2) years of experience and advanced skills using timekeeping, payroll, and/or other information systems

  • Preferred: Associate’s Degree in Accounting

Essential Job Functions: In addition to the essential functions of the job listed below, employees must have on-time completion of all required education as assigned per DNV requirements, Bozeman Health policy, and other registry requirements.

  • Facilitates payroll processing and ensures optimal and accurate processes.

  • Processes quarterly and annual reports and tax filings.

  • Serves as professional resource on payroll rules and regulations

  • Conducts regularly scheduled audits of payroll records to ensure continued accuracy, identifies errors and trends, collaborates with Human Resources and key stakeholders to propose system / process / policy changes, and implements applicable changes in payroll.

  • Executes Retirement Plan distributions and prepares related reports.

  • Serves as one of the system administrators for timekeeping and human capital management systems in collaboration with Information Technology and Human Resources departments duties including but not limited to maintenance, integration with other systems, technical support, and user-training.

  • Works varied shifts as scheduled and/or needed

Physical Requirements

  • Lifting, Pushing, and Pulling: Lift 30 pounds of weight (pick up supplies, move equipment, etc.) Carry equipment/supplies.

  • Extended Hours: The role may involve working for extended periods, requiring sitting, walking, or standing for eight or more hours daily.

  • Flexible Schedule: The position may necessitate working beyond a standard 40-hour workweek, including weekends and after-hours shifts.

  • On-Call Availability: On-call work may be required to respond promptly to organizational, patient, or employee needs.

  • Effective Communication: Proficient in effective communication, both in person and through various technologies.

  • Handling Challenging Situations: The role may involve dealing with upset individuals, requiring the ability to de-escalate situations and work effectively with frustrated patients, families, or employees.

  • Repetitive Tasks: Ability to perform repetitive tasks as needed to fulfill job responsibilities.

Exposures

Tasks Include Potential Exposure: Job tasks may involve exposure to:

  • bloodborne pathogens, such as blood, bodily fluids, or tissues

  • radiation in settings where medical imaging procedures are performed

  • various chemicals and medications used in healthcare settings. Job tasks may involve handling cleaning products, disinfectants, and other substances

  • infectious diseases due to contact with patients in areas that may have contagious illnesses
