Brief Position Overview
As the front line for the Center for Biofilm Engineering, the Program Coordinator II will be responsible for assuring that all visitors, personnel, and students are incorporated into MSU . The Program Coordinator II will report to the CBE Budget & Fiscal Manager and is responsible for all HR and general administrative duties. The Program Coordinator II will also work closely with the CBE Director, managing the Director’s calendar, scheduling meetings, directing phone and email communications, as well as managing documents in need of Director’s review and signature.

General Statement
The Center for Biofilm Engineering at Montana State University, founded in 1990, is an interdisciplinary engineering research center dedicated to advancing research, education and technology related to microbial communities that form on surfaces. Inspired by fundamental discoveries, the CBE develops solutions to industrially relevant biofilm problems and engineers uses for beneficial microbial biofilms.
Duties and Responsibilities
Appointments/LOAs, EPAFS , Graduate Stipends, Undergraduate Hires, Classified and Temporary Hires, Summer Faculty Appointments
Payroll Corrections, Ad Comp Forms, IPR Forms, Tuition and Fees Remission Forms, 3rd Party Billing forms, Non-Employee Appointment Forms
International Documentation/Visas, Hiring Documents, Web Time Approvals, Benefit entries in CatBooks.
Manage the Director’s Calendar.
Compose and respond to emails.
Schedule meetings: both in person and WebEx.
Arrange special events for the Director: booking locations, ordering refreshments, designing/sending invitations and responding to inquiries.
Facilitate arrangements for visitors of the Director.
Review and manage documents needing the Director’s signature.
Purchase supplies, perform supply inventory, kitchen management.
Filing, copying, shredding.
Generate emails about CBE -affiliated university events and CBE seminar series.
Shipping, both domestic and internationally.
Web site updating including: Out of office info, visiting scientists, CBE events, MSU holidays, phone lists, program and facilities overview, publications and thesis citations/abstracts, receive and file news submissions. Our website is extremely robust and one of our vital marketing tools. It contains about 200 pages of resource information, activity, and news. We have about 400 views each day from industry, academia, and government agencies. It must be updated and edited on a daily basis.
Create event/announcement slides for our digital hall monitor display.
Required Qualifications – Experience, Education, Knowledge & Skills
Two years of full-time (or part-time equivalent) progressively responsible administrative work experience with an emphasis on customer service, office management, and human resources, or an equivalent combination of relevant education and experience.
Demonstrated successful competence completing and maintaining records with a high degree of accuracy and close attention to detail.
Demonstrated competence organizing and prioritizing multiple work assignments, meeting deadlines, and exercising adaptability to changing priorities while maintaining a positive, effective, and professional attitude.
Demonstrated competence using personal computers and various software such as word processing, spreadsheets, database, presentation, email and internet. Microsoft Office software preferred.
Demonstrated competence to maintain confidentiality of records and information when under scrutiny from outside individuals.
Preferred Qualifications – Experience, Education, Knowledge & Skills
Knowledge of university procedures and policies or previous experience working in a higher education setting.
Experience working with international students and scholars in an advising and problem-solving role.
