General Statement
The Program Manager manages the processes for creating, acquiring, curating, and making unique digital collections available to library patrons. This individual manages projects in collaboration with library departments, library partners, vendors, and clients (both within and beyond campus) in a professional and timely manner. In coordination with library department heads, the Program Manager is expected to carry out both short-term and long-term goals that are established across departments for unique digital collections while ensuring that goals align with MSU Library’s strategic priorities. The emerging potential of the use of Artificial Intelligence (AI) technologies in this work is to be regularly explored and considered.
Duties and Responsibilities
Coordinate activities involving personnel from various departments responsible for producing unique digital collections; including, but not limited to, members of Archives and Special Collections ( ASC ), Digital Library Initiatives ( DLI ), and Collection Access and Technical Services ( CATS ).
Work with the heads of ASC , CATS , and DLI to establish and manage unique digital collection priorities and timelines for project development and completion. Work with this same group to communicate these priorities and timelines with the Dean of the Library.
Oversee processes for in-house and vendor conversion of analog collections to digital, including specifications, vendor identification and selection, documentation, quality control, contracts, communications, and project management. Direct staff and student work as it relates to the creation and curation of digital materials.
Conduct ingest (i.e. storing) and curation of unique digital-on-arrival collections, including preparation of audio and video recordings, in consultation with other ASC personnel. Work with DLI to manage storage capacity and file management for born-digital and converted unique collections, including file naming and preparation of appropriate derivatives for public access.
Actively explore and test Artificial Intelligence (AI) technologies in the processing, describing, and presenting of unique digital collections. This work includes monitoring the work being done at other institutions and assessing their applicability at MSU . DLI and ROADS personnel can assist with the implementation of such technologies, as needed.
Collaborate with other ASC personnel on the web archiving program.
Create and maintain documentation for the preparation and maintenance of unique digital collections. Participate actively in periodic review underlying processes.
In collaboration with ASC , CATS , and DLI , utilize appropriate metadata plans, metadata quality control, and metadata schemas for unique digital collections that comply with national and international standards.
Create and maintain unique digital collection workflows. Management of project workflows will include monitoring project milestones, communicating project status; scheduling the digitization, conversion, loading, and delivery of digital objects, ensuring quality control according to technical requirements and specifications of each project, and meeting external deadlines when required. Identify and recommend potential improvements to production workflows to improve efficiency and quality.
Manage the creation and maintenance of public-facing unique digital collections, locally and/or on vendor- or consortium-provided platforms.
Serve as a member of the Library Digital Accessibility Committee and provide support and guidance in the remediation and creation of accessible unique digital collections.
Participate in all activities expected of ASC department members, including patron service, the annual process to prioritize department initiatives, following standard procedures consistently, outreach, and representing the department, the MSU Library, and MSU consistently and positively.
Engage in the field and with similar positions at peer institutions. Serve the MSU Library, MSU , and the archives and library profession through outreach and service activities.
Required Qualifications – Experience, Education, Knowledge & Skills
Bachelor’s degree, or an equivalent combination of relevant education and/or work experience in libraries, archives, or museum studies.
Demonstrated project management and communication skills that enable managing a reasonable number of projects simultaneously.
Demonstrated aptitude for technical and metadata work, including sufficient attention to detail.
Demonstrated experience writing and maintaining documentation.
Preferred Qualifications – Experience, Education, Knowledge & Skills
Relevant experience in a library, archive, or museum.
Knowledge of common metadata schema for unique digital collections.
Experience managing files at a medium-size organization.
Familiarity with managing production workflows that facilitate quality, consistency, and timely delivery of final products.
