Position Details

General Statement

Planning, Design & Construction ( PDC ) provides responsible leadership and guidance to advance the physical environment of MSU in support of education, research, and community outreach. The Project Coordinator performs administrative duties, project support, and clerical support across all units within PDC under the direction of the Construction Manager.

Duties and Responsibilities

  • Provide administrative support for Planning, Design, & Construction department.

  • Scheduling, preparing agendas, creating meeting notes, meeting coordination, and action-item tracking.

  • Providing administrative support for planning, design, and construction projects as assigned.

  • Physical and digital document management and organization.

  • Data entry and database use.

  • Invoice/pay-app processing.

  • Special projects and miscellaneous tasks as needed.

    Required Qualifications – Experience, Education, Knowledge & Skills

  • Progressively responsible administrative work experience with an emphasis on customer service and professionalism in a main office setting or an equivalent combination of relevant education and/or experience.

  • Demonstrated experience taking meeting notes, preparing agendas, scheduling rooms, managing/scheduling digital calendars, and creating/managing records to support reporting requirements.

  • Demonstrated experience using videoconferencing software and hardware including Teams, Zoom, and WebEx.

  • Demonstrated excellence in written and verbal professional communication/competence using Microsoft Office software, such as word processing, spreadsheets, electronic calendars, and email.

    Preferred Qualifications – Experience, Education, Knowledge & Skills

  • Experience and/or education in planning, design, and construction, or a related field.

  • Experience with software including Bluebeam, Procore, and other common systems used in the planning, design, and construction industry

    Position Special Requirements/Additional Information

Must possess currently or be eligible to obtain a valid State of Montana Driver’s license and have an acceptable driving record (less than 12 points). Do NOT send a copy of the driver’s license.
