Position Details

General Statement

The Office of Sponsored Programs serves as the central administrative entity and acts as the institutional representative responsible for approving and submitting research proposals to Federal, State and Private sponsors for external research funding and implementing awards resulting from these proposals. OSP is comprised of research administrators that work in partnership with faculty and researchers to ensure that proposals and then awards conform and are managed according to sponsor guidelines, federal and state regulations and University policies, as well as management tasks with a focus on regulatory compliance, financial requirements and customer support.

Duties and Responsibilities

The Research Grant Administrator is an integral role within the Office of Sponsored Programs and supports the assigned departments and faculty/researchers within a defined portfolio of grants with the administration of pre and post-award. Using independent judgment they will be responsible for coordinating administrative and accounting functions including the following responsibilities:

  • This position serves as a critical resource to faculty and research staff, provides advice and counsel regarding sponsored projects administration, and assures sound stewardship of sponsored research dollars.

  • Proposal review and submission, award review and negotiation, authorization of new sponsored project account and changes to existing, and uses advanced contracts and grants concepts to manage a high volume of awards and subawards; many involving significant complexity/multiple PIs.

  • Financial reporting, invoicing, and payment management.

  • Ensure compliance with funding source and administrative guidelines by monitoring expenses for compliance, committed effort, subcontracts, sponsor guidelines, and ensuring orderly closure of projects.

  • Understands, interprets, and applies relevant sponsor and University policy to assure best grants management practices.

  • Sponsored Programs accounts payable training of accounting staff to comply with federal and state agency interpretation of grant restrictive travel and non-travel policies.

  • Sponsored Programs liaison for central office collaboration, i.e. UBS , FSS , policy development and dissemination.

  • Organizing, managing, developing, promoting, , and coordinating events; to include monthly roundtables, PI training, meetings and workshops.

  • Provide general office management and supervision of students.

  • Providing excellent service to MSU faculty, staff, and students consistent with established standards and best practices and prioritizes work based on an understanding of needs and expectations.

  • Proactive in avoiding and resolving problems.

    Required Qualifications – Experience, Education, Knowledge & Skills

  • Bachelor’s degree in Finance, Accounting, or Management, or an equivalent combination of education and/or experience.

  • Progressively responsible fiscal management level experience.

  • Demonstrated experience working with standard administrative procedures and accounting principles, practices, and techniques.

  • Ability to exercise diplomacy, establish effective working relationships, and maintain a high degree of professionalism when working with staff and faculty across campus, as well as sponsor representatives.

    Preferred Qualifications – Experience, Education, Knowledge & Skills

  • Demonstrated technical expertise in grants and contracts, especially federal.

  • Familiarity with state and federal regulations including OMB Uniform Guidance Circular.

  • Experience using Banner software in a university environment.

  • Demonstrated experience and ability to work effectively with various computer systems and on-line submission portals.

  • Certified Research Administrator from the Research Administrators Certification Council ( RACC ).
