Position Details

General Statement

The Department of Chemistry and Biochemistry provides instruction, research, and outreach in several contexts. A large undergraduate chemistry program serves students in many disciplines and at several levels. Courses at the graduate level prepare students to be leaders in education and industry. Productive, nationally competitive research programs are pursued by the faculty so that students can acquire the most modern knowledge and techniques.

The Undergraduate Academic Services Coordinator reports directly to the Business Operations Manager and partners with the other Undergraduate Academic Services Coordinator to support the teaching activities and office needs in Gaines Hall.

Duties and Responsibilities

In partnership with another Undergraduate Academic Services Coordinator:

  • Assist with general walk-in and phone traffic in Gaines Office.

  • Manage general supply ordering for Gaines Hall.

  • Provide information to undergraduate students on graduation requirements, assist students in understanding and following academic policies, rules and requirements; register students in restricted-entry courses; coordinate advising activities and events for department and CLS Advising Services; keep students informed of academic and student support services; and process undergraduate student paperwork.

  • Track all majors and informs the Business Operations Manager, Department Head, faculty advisors and students of potential issues with students meeting requirements to graduate as well as help to ensure that we have enough spaces in required courses to accommodate all majors.

  • Help maintain course waiting lists as required.

  • Support faculty in Gaines as required with administrative tasks such as exam printing.

  • Provide support to the undergraduate program committee; including researching and preparing data on academic enrollment trends.

  • Coordinate the Undergraduate Awards Banquet.

    Required Qualifications – Experience, Education, Knowledge & Skills

  • Experience performing detailed tasks with a high level of accuracy.

  • Experience using databases, spreadsheets, word processing, and e-mail software. Microsoft Office Suite preferred.

  • Excellent communication skills, including the ability to explain and communicate detailed information to a wide variety of individuals in person, over the phone or via email.

  • Experience using educational software suites such as Degreeworks, D2l, Banner, etc

    Position Special Requirements/Additional Information

    Part-time, flexibility in work hours within the constraints of M-F 8-5.
