ADMISSIONS ADMINISTRATIVE ASSISTANT MONTANA STATE PRISON DEER LODGE, MT * * MISSION -Montana Department of Corrections is creating a safer Montana through Accountability, Rehabilitation and Empowerment. If you want to work making positive changes in the community the Montana Department of Corrections is the place for you! Multiple, successful applicants in this recruitment, may be placed in a pool and moved into temporary openings as needed. If a permanent position becomes available within six months of interview selection, applicant may be moved into the position permanently. JOB OVERVIEW –The Admissions Department is the main artery between the Department of Corrections and the prison.The Administrative Assistant assigned to the Admissions Department will be responsible for knowing and performing all functions necessary to legally admit an adult male offender into the Montana State Prison (MSP). This position will also assist in managing offenders waiting to be placed at Montana State Prison from other facilities. This will be done by continuous contact with the external agencies. This position will be required to disseminate records and legal documents while verifying the accuracy of them, as well as asses the offenders immediate PREA, medical and/or mental health risks. Essential duties may include: * Greet visitors, answer inquiries and direct visitors to the appropriate person according to their needs. * Answer telephones and give information to callers, record messages and transfer calls to appropriate individuals. * Handle incoming and outgoing mail, emails, and faxes. * Manage paper or electronic filing systems, recording and verifying information, updating paperwork, or maintaining documents, such as correspondence and other materials. * Operate office machines, such as photocopiers and scanners, facsimile machines, voice mail systems, and personal computers. * Prepare responses to correspondence containing routine inquires. * Maintain and enter information into databases. * Proofread documents, records, or other files to ensure accuracy. * Schedule and confirm appointments, events, travel, or meetings for clients, customers, or supervisors. * Provide services to staff or customers, such as order placement, account information, or invoice processing. * type and distribute meeting agendas, notes, routine correspondence, orroutine reports or take meeting minutes. The hourly rate of this position will increase by $1.50 per hour or 4% whichever is greater starting July 1, 2024, in accordance with HB13. Tobacco Free -Use of all tobacco products, including smokeless tobacco products and tobacco substitutes in Department of Corrections buildings, is prohibited. In secure care facilities possession of tobacco products is also prohibited.
