Embark Behavioral Health Admissions & Outreach Director in Eureka, Montana

The Director of Admissions reports to the Executive Director and collaborates with the Clinical Director, Residential Director and other members of the admissions team to synchronize all admissions. The mission of the Director of Admissions is to be the trailblazer of the admissions team. The Director of Admissions leads the team that moves students into treatment, manages and directs the admissions process and authentically represents Chrysalis to parents/guardians, referents, and prior treatment providers. The Director is a mentor to admissions team members training them to become ambassadors for Chrysalis.

The Director of Admissions oversees the assessment, selection, and admission of participants into Chrysalis. As part of these responsibilities, the Admissions Director facilitates admission assessments for potential participants, oversees the records for past, present, and potential participants, and develops and implements marketing and outreach strategies.

The mission of the Director off Outreach (DO) is to represent all Chrysalis and execute regular sales and marketing activities (networking events, phone, mail, email, social media, sponsor and/or attend conferences and professional development events) to connect program admissions teams (and other program personnel) to multiple referral sources including; educational consultants, clinicians, schools, hospitals, attorneys, associations and other treatment programs. The aim for creating the connections with admissions teams is to engage prospects, create leads, qualify families, convert inquiries and advance the programs’ brands to meet defined goals.

This position requires the DO to be knowledgeable about current research and trends in treatment. It also requires assisting in training at programs to help maintain the clinical and operational integrity of brands.

It is vital that the DO provides exceptional, ongoing Account/Care Management services to all referents to the programs within the assigned division. The DO assures there is a high level of engagement between program admissions personnel and referral sources.

Culture/Employee

  1. Demonstrate Chrysalis culture, program norms, and service offerings. Maintain relationships with key leadership members.

  2. Schedule and attend Daily huddles and monthly marketing calls.

  3. Actively supervises and develops each subordinate admissions team members through weekly 1:1’s, annual development plans completed by January 31st each year, annual performance plan reviews, plans of correction, informal and formal write-ups as needed, etc.

  4. Comprehensive programmatic view (comprehensive awareness of inner workings of Chrysalis) as demonstrated by ability to accurately articulate all program offerings, work with executive director to stay up to date on all service offerings through at least monthly contact.

Sales

  1. Responsible for annual admissions budget planning.

  2. Responsible for annual enrollment, ADC, ADR goal setting.

  3. Lead and document daily huddles and weekly marketing meetings.

  4. Meets and exceeds personal enrollment targets.

  5. Meets and exceeds annual average daily census (ADC) targets as determined by program goals.

  6. Meets and exceeds of annual average daily rate (ADR) targets as determined by program goals.

  7. Meets and exceeds admissions Net Promoter Score NPS targets.

  8. Investigate and seek out at least 5 new Referral Partners each year.

Admissions Management & Documentation

  1. Manage and supervise admissions staff.

  2. BestNotes & Salesforce electronic file maintenance and monthly auditing of billing ledgers, teams implementation of BestNotes and Salesforce.

  3. Student File onsite file maintenance (i.e. completion of students admission file checklist items, follow-up on missing items, and uploading of all relevant document to BestNotes by end of business on the date of enrollment).

  4. BestNotes & Salesforce electronic file maintenance (i.e. daily tracking and documentation of all contacts by end of business same day).

Marketing

  1. Execute sales and marketing campaigns as directed by Marketing team.

  2. Develop and maintain personal relationships with a minimum of 25 key referral sources growing by 5+ each year. Maintain quarterly contact with key referrals sources.

  3. Lead and direct planning of large and small marketing events, tours. To include Educational Consultant (EC) tours, and other onsite events.

  4. Schedule and coordinate professional tours for all types of referents.

  5. Increased potential travel for marketing purposes (at least monthly), plans trips and travel independently.

Experience- Minimum of 5+ years admissions experience or by appointment from Executive Director.

Education- Required to have B.A. or above. Supervisor will encourage higher level education as appropriate.

Health insurance will become effective on the first day of the month following your first 30 days of employment. Our current health carrier is Cigna for medical insurance. As an additional discretionary benefit of the company, Chrysalis will offer you a stipend to offset the cost of your medical and dental monthly premiums. The stipend is subject to fluctuate annually, determined by insurance renewal costs and other factors determined by the company.
