Summary The Lead Medical Support Assistant (LMSA) may be assigned to various locations of the facility. The LMSA is responsible for daily workload assessments, assigning work, and assuring staffing coverage; evaluating training records; and determining interdisciplinary training needs of MSAs. The LMSA assists the unit with complex and non-standard procedures, including clinical flow processes related to access to care across multiple clinics, specialties, and/or community resources. Responsibilities Major duties of the Lead Medical Support Assistant (LMSA) include, but are not limited to: Conducting quality reviews related to scheduling, patient check-ins, collection of health insurance information, recall reminders, consult follow-ups, Electronic Waiting List and Veteran Choice List, patient eligibility, and other functions. Ensuring appointment scheduling adheres to VHA policies and procedures. Routine reviewing of directives, policies, procedures, performance measures, and other VHA guidance to recommend improvements. Distributing and balancing workload, assisting the Supervisory MSA to develop work schedules and contingency plans. Assisting the Supervisory MSA with new employee orientation and on-the-job training. Work Schedule: Full-Time, Monday through Friday; 8:00 to 4:30 or as agreed upon with the possibility of extended hours and weekends. NOTE: Candidates must be willing to work weekends, irregular work hours and extended hours. The candidate must be willing to be assigned to other related services and/or locations, if necessary. Requirements Conditions of Employment Qualifications Basic Requirements: Citizenship. Citizen of the United States. Experience and Education. (1) Experience. Six months experience of clerical, office, [customer service], or other administrative work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position; OR, (2) Education. One year above high school; OR, (3) Experience/Education Combination. Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable.GS-7 Grade Determinations: In addition to the Basic Requirements for employment listed above, the following education and experience criteria must be met when determining the grade of candidates for Lead Medical Support Assistant GS-7: Experience. One year of experience equivalent to the [GS-6] grade level. Specialized experience includes: Organizing work, setting priorities, and delegating tasks/responsibilities in order to meet deadlines; Communicating with individuals to obtain the desired effect, ensuring compliance with established policies and regulations; Providing staff development and training; Managing staffing requirements, managing priorities, and coordinating with staff in the unit in order to complete duties in an accurate and timely manner; and Reviewing and monitoring data to ensure all reports are complete and accurate. Demonstrated Knowledge, Skills, and Abilities (KSA). Candidates must also demonstrate ALL the KSA listed below: (1) Advanced knowledge of medical terminology and a wide range of clinical flow processes relating to access to care across multiple clinics, specialties, and/or community resources. (2) Ability to utilize numerous advanced patient systems in support of multiple clinics in an interdisciplinary setting. (3) Ability to organize work, set priorities, and delegate tasks/responsibilities in order to meet deadlines. (4) Skill in communicating with individuals to obtain the desired effect and coordinating with a variety of interdisciplinary care team staff.(5) Ability to provide staff development and training. (6) Ability to manage staffing requirements, manage workflow priorities, and adjust the flow of work to meet team and patient needs. The full performance level of this vacancy is GS-7. The actual grade at which an applicant may be selected for this vacancy is in the range of GS-7 to GS-7. Physical Requirements: Work is generally sedentary in nature with some walking, standing and bending. Occasionally requires moderate physical activity, e.g. carrying light items such as books and papers, or lifting stacks of boxes or records. Work Conditions: The employee may rotate to various locations to perform assigned duties in an office, nursing station, or clinic setting in close proximity to clinicians and patients. The work area may be small and congested with patients and staff. the work is in a fast paced, busy environment with multiple interruptions. The work area is adequately lighted, heated, and ventilated. Special ergonomic precautions must be taken with sitting and typing. Work involves minimal risks and observance of typical of safety precautions typical of a clinic and office environment. Since work requires a high level of interaction with patients in close proximity to clinic care areas, employees may be exposed to communicable diseases. Employees are required to be tested for TB annually and are offered annual vaccinations to prevent influenza. Additionally, the employee is a times confronted by angry patients or family members, so special violence prevention in the workplace safety precautions are necessary.
