State of Montana Accounting Technician II in Great Falls, Montana

This position is located in the Business Office of the Montana School for the Deaf and Blind (MSDB) in Great Falls MT. This person will work directly with the Business Manager to assure all financial transactions are entered timely and accurately to assure the continued operation of the school for the students and staff at MSDB. Essential Duties or Responsibilities: A. Accounting Duties 65% * Perform accounts payable and/or receivable duties. * Enter new vendors into SABHRS, the State of Montana Accounting Software. * Logs in packages received daily. * Entering requests for expenditure of funds into Fraxion, MSDB’s Purchase order software. * Invoicing all payments into Fraxion. * Tags and enters assets into SABHRS and Follett (asset tracking software) monthly. * Process financial transactions including preparing general ledger journal entries. * Logs in checks daily. * Prepares bank deposits. * Checks for accuracy in figures, postings, and reports, researching or auditing as needed. * Answers general questions as well as those related to specific accounts. * Performs routine reconciliations. * Adjusts entries to ledgers. * Identifies and corrects routine posting errors. * Classify, record and summarize numerical and financial data. * Responsible for all aspects of student and club accounts, including distributing checks and/or petty cash, logging in deposits, logging in fund distribution, and distributing monthly statements. * Responsible for all 1099’s and 1042-S. * Orders office supplies for the Business Office. B. Payroll Duties 15% * Process timesheets for contracted and hourly employees in the cottage program and general services program. * Contact person for programs mentioned above for updates on leave balances. C. Procurement & Contracts 10% * Works with the Student Life Director and the Superintendent on a yearly travel bid and contract. * Works with the Student Life Director and Cook on a yearly food bid and contract. * Main point of contact for Verizon contract and ordering new cell phones for staff. * Ordering business cards and name tags with Print and Mail in Helena. * Updating WEX drivers on contract to keep list of authorized users current. D. Other Duties as Assigned 10% * Provides direct support to the Business Manager at MSDB. * Assists the Business Manager on grant tracking, including monthly submissions for reimbursement, searching for invoice copies, final grant reports and other duties as assigned. * Works with the State of Montana regarding all surplus property. Knowledge, Skills and Abilities: (Required for first day of work) * 3 years of accounting including processing accounts payable, making general ledger journal entries, and account reconciliations. * Ability to operate a personal computer and general office equipment as necessary to complete essential functions, including using spreadsheets, word processing, database, email, internet, and other computer programs. * Ability and willingness to learn sign language. Minimum qualifications (Education and Experience): * Minimum requirement is an Associate Degree in Accounting plus at least 3 years accounting experience. * Other combinations of education and experience may be considered on a case-by-case basis. The successful candidate must have the ability to learn basic sign language skills to communicate with deaf staff and students.
