General Purpose and Scope of Position:

Wilbur-Ellis is seeking an experienced Inventory Specialist. This position is responsible for the coordination of product acquisition, shipment, and product transfers across locations to ensure the movement of inventory based on customer/branch needs. The position also provides assistance in all aspects of customer service including product sourcing, order processing, and inventory coordination. Successful performance in the role relies on timely and accurate agricultural chemical ordering and understanding of timely inventory supply.

Key Skills and Abilities Include:

High School graduate or equivalent.

Minimum of 2 years previous experience within the agricultural chemical industry.

Ability to apply mathematical concepts such as fractions, percentages, and ratios to practical applications.

Must be able to read, analyze and interpret written procedures and reports.

Previous experience with JD Edwards Enterprise Resource Planning order entry system preferred. JD Edwards practices and process training will be provided, as necessary.

Proficiency with computers to intermediate level utilizing Microsoft Windows Office Suite Programs.

Ability to read, write and, speak the English language fluently.

Must be able to sit at a desk or computer terminal to perform writing and keying/typing information for long periods of time.

Must have strong organizational skills with strong attention to detail and the ability to prioritize multiple assignments.

Must be a self-starter with strong time management skills.

Ability to learn detailed and specific procedures and processes and execute them accurately and efficiently.

Specific Responsibilities and Key Deliverables Include:

Responsible for processing orders received from branch locations and sales reps. This includes taking orders, sourcing materials, processing orders, preparing paperwork for pickup or delivery (OTR, LTL, FedEx, UPS, etc.), and completing applicable paperwork in an accurate and timely manner to ensure satisfactory invoicing/billing.

Utilize demand planning tool, interfacing with Sales managers, Location managers, and field staff to create accurate forecasts at the customer level.

Communicate directly with sales staff to identify possible inventory shortages and troubleshoot possible solutions prior to shipment or customer notification.

Create reports and analyze the data for product usage to understand future needs and initiate conversations with the sales manager to address future needs to ensure consistent product availability.

Provide the most current costs and work with the sales manager on supply and program benefit information.

Partner with Sales managers and purchasing group, as necessary, with supplier relations contact to manufacturing and vendor companies.

Maintain up-to-date communication with sales, office, and warehouse personnel on all incoming shipments including ETA and tracking information.

Coordinate forecasts and monitor product levels on a daily and weekly basis.

Communicate directly with the purchasing team on regional needs and issues and responsible for making product requests with order requisitions and purchase orders.

In collaboration with the procurement team, monitor supplier program targets; work with Sales managers to ensure we reach goals. Monitor supplier inventories and industry dynamics that threaten product availability.

Responsible for monitoring outgoing inventory to owned retail locations, alliance partners, and wholesale customers in comparison to forecasts.

Stay up to date on current supplier rebates and early-order programs to have products on hand to effectively and efficiently EDI products for customers.

Responsible for receiving all incoming inventory into JD Edwards Enterprise Resource Planning (ERP) software accurately, including lot number and expiration date.

Responsible for accurately updating inventory costs and when applicable including freight.

Work with the sales manager and cost accounting to ensure accurate inventory costs so margins are computed accurately.

Responsible for communicating receipt of the back-ordered product to logistics so they can arrange delivery.

Responsible for communication with sales and office staff to coordinate transfers to and from owned retail locations, alliance partners, and wholesale customers.

Responsible for inventory tracking and control, including working with the warehouse manager and office staff to conduct variance research of products stored in warehouses and bulk storage areas as required.

Responsible for responding to customer inquiries for special requests by locating and arranging shipping of the product to the branch.

Communicate directions and instructions regarding receiving hours, both verbally and in writing, to vendors and transportation companies.

Assess logistic options and align with national vendors when possible. Keeping transportation costs competitive and continually communicating with vendors for the best rate and customer service.

Present a professional image to customers in all interactions (verbal, computer and in-person) and in personal appearance.

Make use of standard office equipment: computer software and programs, fax machines, postage machines, copier machines, etc. to effectively perform all aspects of position responsibilities.

Assist with electronic order entry and processing of retail location, alliance partner, and wholesale customers (sales orders, shipping documents, invoicing) utilizing JD Edwards Enterprise Resource Planning (ERP) software.

Provide backup and assistance to other purchasing assistants and/or administrative assistants, including answering phones.

Proactively seeks and participates in available company-sponsored training, in an effort to develop and advance skill set and knowledge base.

Able to work rotating Saturdays from spring to fall as needed.

Follow all safety rules and regulations while performing work assignments and adhere to all policies and procedures as specified in company manuals and as directed in the employee handbook.

Perform all other duties as assigned by management in a professional and efficient manner.
