Job Summary

The role of the IT Asset Administrator is to actively manage IT assets within the company. This includes planning, monitoring, and recording IT assets to ensure compliance with vendor contracts. The individual will assist in forming procurement strategies to optimize technology spend across the organization. The IT Asset Administrator will also develop and make recommendations to improve procedures for tracking company assets to oversee quality control throughout their lifecycles.

Key Responsibilities

  • Manage vendor maintenance and lease contracts.

  • Conduct and report asset reconciliation and audit activities on a timely basis, including financial, warranty, and maintenance/support contract information.

  • Compare warranties, maintenance agreements, and vendor contracts to assist with asset upkeep, upgrades, repair, and replacement.

  • Perform data mining and analytics for the purpose of finding areas for process improvement as well as ensuring data integrity and accuracy.

  • Research industry best practices and compare against the organization’s practices in order to establish benchmarks for managing IT assets.

  • Perform UAT/CAT including test script development for asset management reporting.

  • Create custom reports for specific internal projects as required.

  • Enter all hardware serial numbers or identification tags into asset management system and ensure information is up to date, accurate, and auditable.

Management Responsibilities

Preferred Qualifications

Education: Higher education preferred (University / College Degree)

Experience: 5+ years experience in IT Asset Management or related field

Training: ITIL Foundations (or higher)

  • Experience with IT Asset Tracking systems (ServiceNow Asset Manager experience a plus)

  • Knowledge of computer lease structures and processes

  • General IT knowledge of major hardware and software providers and products

  • Able to work independently, prioritize task and escalate as appropriate

Minimum Qualifications

2+ years' experience in IT Asset Management or related field.

Work Environment/Physical Demands

Typical office/home office environment. Physical Demands: Sitting, talking, grasping, hearing, keyboard input, seeing, writing, reaching, stooping, crouching, walking, standing for extended periods of time, extensive screen time.
