Major Duties or Responsibilities This position is responsible for allocating Lab revenues and accounts receivable data entry into SABHRS and the Department’s Lab billing system (VADDS); processing Beef Council accounts receivables; maintaining vehicle maintenance records; issuing the Diagnostic Laboratory statements, and related reports; auditing the state gas card purchases and correcting the default coding if needed; reconciling Montana Interactive activity to SABHRS and making correcting journals in the general ledger; issue and monitor aerial hunting licenses and pilots’ hunting reports, serves as backup for mail delivery in Helena office, A. ACCOUNTING 50% of Time 1. ACCOUNTS RECEIVABLE a. Reviews documentation, prepares and initiates SABHRS accounts receivable deposits, assigning proper revenue codes for all types of deposits. b. Contacts local inspectors, regional department personnel and livestock market personnel to reconcile errors noted in deposit documents. c. Initiates SABHRS Collection Reports by encoding data. d. Reviews for accuracy and responds to Inter Unit Journals submitted by other agencies. e. Back up for other accounts receivables such as wire transfers from cooperative agreements and milk control vendors and other deposits. f. Assist accounting supervisor with fiscal year-end journal entries as assigned. 2. ACCOUNTS PAYABLE - this position will perform specific accounts payable transactions on regular basis and be backup for the full-time accounts payable personnel. a. Reviews A/P invoices for appropriate approval as part of the agency’s internal control process. Process A/P vouchers for payments to vendors. b. Create and/or process general ledger journals as needed. B. DIAGNOSTIC LABORATORY 25% of Time 1. Reviews, balances and prints the monthly account statements. 2. Performs month end Oracle procedures to close each month. 3. Prepares an Excel file to import the monthly charges into SABHRS Financials. 4. Creates the monthly delinquent accounts report. 5. In agreement with the Diagnostic Laboratory Administrator, contacts the delinquent accounts by phone and/or by preparing and mailing delinquent account letters 6. Records all customer payments in VADDS as received. 7. Prepares and enters deposits into SABHRS. C. AGILE ASSET AND MONTANA INTERACTIVE 15% of Time 1. Audits the state gas card system for proper use of gas card by reviewing gas receipts as they are received. 2. Prepare downloaded Wright Express monthly activity for upload to Agile Asset program. 3. Input vehicle maintenance costs not purchased with gas card. 4. Contact employees for missing document or clarification as to purchase purpose. 5. Reconcile monthly Montana Interactive activity to SABHRS receipts. 6. Make necessary general ledger journals to correct miscoding. 7. Contact Montana Interactive when missing documentation or clarifying their documentation. D. OTHER DUTIES 10% of Time 1. Process applications for aerial hunting permits and maintain hunting report records. 2. Prepares materials for board and various other meetings and presentations. 3. Prepares materials for records management or proper disposal. 4. Maintains confidentiality of materials handled. 5. Performs miscellaneous tasks as assigned by the Finance & Accounting Bureau Chief.
Principles of Accounting coursework preferred. Statewide Accounting, Budgeting, Human Resource System (SABHRS) training preferred. A high level of professionalism and patience is needed.
