This position may be covered by a Voluntary Employee Beneficiary Association (VEBA) *JOB DUTIES: As an Administrative Assistance, you will: * Greet visitors, answer inquiries and direct visitors to the appropriate person according to their needs. * Answer telephones and give information to callers and direct to correct party. * Receives and distributes mail and other information delivered. * Run and distribute daily reports to appropriate staff. * Schedule and confirm appointments, events, travel and/or meetings. * Provide services to division staff such as order placements. * Monitor and maintain office supplies and equipment. * Prepare and distribute meeting agendas, notes, or take meeting notes minutes. KNOWLEDGE, SKILLS AND ABILITES: If you are the right person for this opportunity, you will have the following knowledge, skills or abilities: Knowledge of (or ability to learn in a reasonable amount of time): * Microsoft Office software * Office Management and administrative practices Skill in: * The use of personal computers and software including Excel and Word is a must. * Exceptional customer service. * Analyzing and interpreting information. * Speed and accuracy in typing. * Use office equipment such as calculators, personal computers, and copiers. * Working independently. * Promote and supporting a friendly working environment. Ability to: * Organize and prioritize the workload to meet continual deadlines. * Establish and maintain effective working relationships with internal team members as well as external customers. * Follow guidelines set out in policy and/or regulation. * Solve problems and research regulations, statute, policies, and procedures. * Cope with periods of simultaneous high call volume and walk in traffic. * Use discretion in handling sensitive information. MINIMUM QUALIFICATIONS Your preparation for this opportunity could include a combination of relevant experiences including: * High school graduation (or equivalent), and; * One year of directly related experience. Examples of directly related experience include experience in an administrative, legal or regulatory environment, or other position such as executive secretary where progressively responsible experience was obtained. OR * Any combination of equivalent experience and education to successfully perform the essential functions of the position will be considered.
