JobDuties: · This position provides high level administrative support for the day-to-day complex operations of Fish, Wildlife, and Parks through the utilization of both general and specific knowledge of the innerworkings of the department. · Duties include planning and organizing administrative processes for committees, meetings, working groups, contact and communication with state, local and federal partners involved in work in Montana. · The position must be able to interpret state and department laws, regulations, rules, and policies, and effectively communicate this information to the public in a courteous and professional manner. · Relies on experience and judgment to plan and accomplish goals. The incumbent also completes varied administrative tasks for our internal customers in support of the various programs of the Administrative Support Operations Division as directed. · Reviews correspondence and requests for information and action and disseminates to appropriate staff. Prepares routine draft correspondence and takes minutes for staff meetings. Tracks and assigns correspondence requiring response by the Division and follows up to ensure deadlines are met. · This position is varied and regularly assists numerous staff with both complex and simplistic tasks including handling angry customers, reconciling complex federal grants payments and inputting data associated with such, interpreting state laws relating to purchasing or public involvement, or auditing per diem reimbursements for various boards and citizen groups that provide support to the division. This position mu have knowledge of, understand and provide direction to customers in responding to a variety of cultural and natural resource agencies. · This position is in regular contact with the public, responding to emails, and answering phone calls. _Knowledge, Skills and Abilities: _ Thorough working knowledge of office principles and practices. Work reflects good organizational skills, neatness/accuracy. Considerable knowledge of writing techniques and grammar. Dependable/reliable; strong ability for being flexible/adaptable; handle multi-tasks. Skills in organizing, prioritizing and time management. Excellent communication skills. Ability of sitting in a meeting, listening, take notes, and condense/paraphrase the facts of that meeting in a final format for others to comprehend. Skill in operation of word processor, transcriber and recording equipment. Typing ability a minimum of 60 wpm. Ability to establish and maintain effective working relationships with staff, with board members, special interest groups and to build a good public rapport. Ability to quickly gain knowledge of state government and department policies, administrative procedures and federal state and local natural cultural and recreational resources programs. Mandatory computer software: Microsoft Word/Excel/PowerPoint/ Internet aptitude; highly desirable computer software: Microsoft Outlook/Access. _Minimum Qualifications (Education and Experience):_ The knowledge, skills, and abilities of this position are generally attained through 2 years of job-related or vocational training and at least 3 years of job related experience with emphasis on office practices and office management. One year of experience in a natural resource agency is desirable. Other combinations of education and experience will be considered on a case-by-case basis.
