About this Position The Commerce Director’s Office provides centralized finance, budget, legal, IT and HR services and resources for the Department Divisions and attached boards. The Executive Assistant provides assistance related to the overall mission and objectives of the department. As support for the Director’s office, this position provides general administrative support for the Director, Deputy Director, Human Resources Office, Financial Services Office, IT Office, Budget and Legal Services Office. The incumbent maintains calendar appointments for the Director, schedules and maintains travel information and performs several additional administrative services in support of the Director’s Office as a whole. In addition to the administrative support for the Director’s office, this position also acts as the liaison between the Department of Commerce and the Montana Ambassador’s Program, including meeting coordination, data entry, filing and managing inquiries from the public, program members and the board. What are we looking for?__ Education and Experience: // · High School Diploma · Three or more years of progressively responsible administrative work experience · Alternate combination of education and experience will be considered on a case-by-case basis Competencies: /Knowledge of:/ · Microsoft Office Suite · Meeting agenda creation · Outlook calendar organization and maintenance /Ability to:/ · Draft, review and send communications on behalf of Department leadership · Organize and prepare for meetings, including gathering documents and attending to meeting logistics · Answer and respond to phone calls, communicate messages and information to necessary staff · Coordinate travel arrangements · Create and maintain records or documents · Build and maintain effective working relationships · Multi-task and maintain organization of multiple, competing priorities How to apply Apply online by submitting yourresume,and cover letter.
