State of Montana Executive Assistant in Helena, Montana

The Department of Administration serves state government by providing critical business operation services. These services include enterprise information technology; workforce strategies, benefits, and systems; treasury and financial processes; procurement and contracting processes; new construction and facilities management; and protection of assets/resources through our insurance programs. That’s not all! Beyond our internal operations support to state agencies--we regulate banks and financial institutions; and administer the ConnectMT program, which awards funding to qualified entities to expand broadband services to the citizens of Montana. What is this career opportunity? This position reports directly to Director of the department and provides administrative, project management, and communications support as part of the Director’s Office team. We are looking for a ‘take charge’ type of individual who thrives in a fast-pasted environment. In this position you would schedule meetings and manage calendars; draft written correspondence for both internal and external audiences; research and coordinate responses to inquiries; gather information from department leadership and format for presentation; coordinate and notice public meetings (e.g., Burial Preservation Board, Capitol Complex Advisory Committee, etc.); and perform a wide variety of administrative support functions, such as, maintaining web pages, records management processes, and receptionist functions. This position also performs duties in support of the agency’s legal team in the areas of public record information requests, administrative rule updates, and other activities. What are we looking for? Education and Experience: * Associate degree in a related field and three or more years relevant job experience or related education. * Alternate combinations of education and experience will be considered on a case-by-case basis. Competencies: * Effective communication skills, both verbal and written. Ability to interact with employees, managers, and others in both positive and challenging situations. * Proficient in using Adobe and Microsoft Office software suite with advanced skills in Word and Outlook. Ability to learn software programs and perform updates to websites and social media sites. * Effective proofreading, formatting, and editing skills. * Demonstrated ability to maintain confidentiality, as this position has frequent contact and access to confidential information. * Ability to build effective working relationships with agency staff, Governor’s Office staff, other agency staff, vendors, and others. * Demonstrated accuracy and thoroughness to ensure quality work output. * Able to adapt to changes in the work environment; management of competing priorities; and capacity to deal with frequent change, delays, or unexpected events. * Appropriate identification and resolution of problems within areas of responsibility. * Knowledge of administrative and clerical procedures such as file and record management, taking meeting minutes, and other office procedures. /Preferred:/ * Notary Public certification or willingness to obtain this certification. * Knowledge of or willingness to learn legal support and case tracking, and administrative rule processes. * Familiarity of the structure and operation of state government.
