Job Duties: · Administrative Management o Creates and manages calendars to ensure meetings with internal and external partners is up to date and assists with preparation of meeting materials. o Attend Bureau staff meetings, takes notes and identifies needs for follow up on action items. o Responsible for designing forms for fishing contests, scientific collector permits, commercial hatcheries and others. o Manages logistics of trainings and training materials for various division programs. · Information Management o Utilizes the Automated Licensing System for researching historical activity related to private ponds, commercial ponds, fish transports, etc.) and other related division needs. o Web publishing o Reviews specific data requests made by staff, the public, and other agencies, and prepares concise and understandable summary reports/analysis as requested. o Maintains all the central paper files for the division in conjunction with the program supervisor. · Administrative Support Services o Answers incoming calls to the division, takes messages and transfers calls as appropriate. Calls of critical importance are immediately brought to the attention of the management staff. o Promptly distributes and/or emails requested informational materials, documents and reports. Relays pertinent information to appropriate staff for follow-up contacts or assistance. o Makes travel arrangements via vehicle, airfare and/or hotel reservations. o Purchase office supplies and equipment for both large events and daily office needs. o Helps coordinate Division information and activities with regional FWP offices. o Prepares vouchers for vendor payments and maintains invoice files. Handles credit card verification and payments. _Knowledge, Skills and Abilities: _ * Excellent public relations skills, including establishing positive work relationships with public and coworkers. * Ability to handle difficult customers and situations. * The ability to communicate effectively with external and internal customers in person, in writing and on the phone. * The ability to work independently and provide the public with the correct information and licenses. * Thorough working knowledge of office principles and practices. * Considerable knowledge of business English, including grammar, spelling, punctuation and sentence structure. * Skilled in organizing, prioritizing and time management * Ability to operate a computer, printer, fax machine, photocopier, cash register, credit card machine, calculator and multi-line voicemail telephone system. * Knowledge of Microsoft Word/Excel/Outlook, with a heavy emphasis on Excel experience. * Ability to adapt to various proprietary computer applications. * Must possess the ability to understand, interpret and explain policies, procedures and regulations in an easily understandable manner. * Ability to memorize and retain information, i.e. price of licenses, season dates, phone numbers, laws, etc. * Ability to work accurately with frequent interruptions. * Must be dependable and reliable with a strong ability to be flexible/adaptable. * Must be tactful, courteous and professional. * General accounting or bookkeeping experience preferred. _Minimum Qualifications (Education and Experience):_ The knowledge, skills, and abilities of this position are normally attained through combination of education and experience equivalent a high school diploma or equivalent and at least 1 year of job-related work experience.
