    Helena School District # 1 has an opening for a full-time 8 hours per school day 10-month per year General Secretary II for Athletics and Traffic Education At Helena Public schools, our vision is to foster dynamic educational experiences that prepare all students for life. As the General Secretary II for Athletics and Traffic Education, you contribute to this mission by assisting students, staff, parents and/or guardians and the school community. You will work as part of a team of 60 secretary support staff serving 8,000 students and 18 campuses across Helena. This position serves as the General Secretary for the Athletic Director by operating a multiline telephone system to relay incoming calls. Receives and directs visiting members of the school community and staff to appropriate personnel. Serves as the general secretary/bookkeeper for the Traffic Education Program and as facilitator for the school/public being served in communicating information, problem solving, cash handling, and record keeping. Responsible for representing the school district in a positive way to students, staff, parents and/or guardians, and the school community. Some of what you will do:

  • Directs telephone traffic; takes and delivers messages; routes calls.

  • Responds to routine telephone inquiries regarding general athletic program and driver’s education policies and procedures.

  • Responds to routine in-person questions regarding school policies and procedures in relation to the Athletics program and Drivers Education

  • Receives visitors, obtains name and nature of business, directs to appropriate personnel, and may schedule appointments.

  • Works closely with the District transportation program and various hotels to secure travel arrangements for various teams throughout the year.

  • Compiles and submits a variety of weekly, monthly and year-end reports as required.

  • Prepares materials for printing and distribution to students, parents and/or guardians, staff and the school community.

  • Processes purchase orders, direct pays and other e-work orders.

  • Performs a variety of clerical duties such as keyboarding, proofreading, photocopying, distributing incoming mail and posting outgoing mail.

  • Maintains, orders and stocks supplies for programs supply room.

  • Maintains accurate files and records in accordance with the school district’s retention policy.

  • Maintains a list of student names and information for activities lists.

  • Facilitate student registration and transcripts.

  • Commit to quality focusing on customer needs.

  • Prepare and type various correspondence, letters and memos, forms etc.

  • Pay bills and prepare refunds as necessary.

  • Compiles and submits a variety of weekly, monthly, and year-end reports as required both for Helena School District and Office of Public Instruction

  • Prepare and manage the creation of Drivers Education Class Schedules for the Summer, Fall and Winter Sessions.

  • Prepare and accept registration materials for student registration into each Drivers education session.

  • Make preliminary class assignments for registered students for all Drivers Education classes.

  • Performs other related duties as assigned by supervisor.

To become part of this dedicated team, you need:

  • High School diploma or equivalent;

  • Three (3) years of secretarial experience and/or bookkeepeing training (AA) degree in accounting or related field is desired but not required).

  • Working knowledge of accounts receivable, accounts payable, payroll, standard revenue collection and deposit procedures and spreadsheet accounting required.

  • Or an equivalent combination of education, training and experience as determined by the District.

  • Knowedge of governmental accounting, Microsoft business software, and newsletter publishing preferred.

The ideal candidate will possess:

  • Experience with PowerSchool or other similar computerized facility management software.

Essential functions of the position include the ability to regularly lift and/or move up to 40 pounds with or without a reasonable accommodation. Current entry level salary wage range is $18.16 to $19.43 per hour depending upon applicable relevant work experience as determined by the Distric. Position includes a comprehensive benefit package including but not limited to paid sick and vacation leave, three (3) paid personal days, nine (9) paid Holidays, up to fourteen (14) school calendar related days, health benefits with coverage during the summer break, and retirement.
