    This full-time ten-month position provides general secretary and bookkeeping support for Helena High School. Qualifications include: high school diploma or equivalent; one year of bookkeeping experience and/or training; one year of secretarial experience and/or training or an equivalent combination of education, training, and experience as determined by the District. Experience working with spreadsheets and computerized bookkeeping software is desired. Entry level salary is $17.54 per hour without in district recognized experience and includes a comprehensive benefit package including coverage during the summer break.

Position Title: General Secretary - High School Department: High School Reports To: Principal Prepared By: Human Resources Services Date: 6/1/2017

SUMMARY: Serves as a receptionist/general secretary for the high school by operating a multi-line telephone system to relay incoming calls. Receives and directs visiting members of the school community and staff to appropriate building personnel. ESSENTIAL DUTIES AND RESPONSIBILITIES: Other duties may be assigned. Directs telephone traffic; takes and delivers messages; routes calls. Responds to routine telephone inquiries regarding general high school policies and procedures. Receives visitors, obtains name and nature of business, directs to appropriate building personnel and may schedule appointments. Compiles and submits a variety of weekly, monthly and year-end reports as required. Prepares materials for printing and distribution to students, parents and/or guardians, staff and the school community. Processes purchase orders, direct pays and maintenance work orders. Performs a variety of clerical duties such as typing, proofreading, photocopying, distributing incoming mail and posting outgoing mail. Maintains, orders and stocks supplies for building supply room. Maintains accurate files and records. Maintains a list of student names and information for activities lists. Facilitate student registration and transcripts May perform other duties as assigned. EDUCATION and/or EXPERIENCE: High school diploma or general education degree (GED) and one-year of secretarial experience or training or an equivalent combination of experience and training as determined by the district. LANGUAGE SKILLS: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before parents, staff and students. MATHEMATICAL SKILLS: Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs. REASONING ABILITY: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations. OTHER SKILLS and ABILITIES: Ability to pass a typing test at 55 words per minute. Demonstrated ability to operate a personal and mainframe computer and related software. Ability to develop effective working relationships with students, staff and the school community. Patience in dealing with members of the school community. Ability to communicate clearly and concisely, both orally and in writing. Ability to perform duties with awareness of all district requirements and Board of Education policies.
