St. Peters Health Medical Staff Specialist - Days (8am-5pm) 1.0 FTE in Helena, Montana

JOB SUMMARY: The Medical Staff Specialist works independently and in collaboration with the Medical Staff Services Officer to assist with all functions of the Medical Staff Services Department at St. Peter’s Health.

  • Works with contracted credentialing firm to coordinate functions of the credentialing, re-credentialing and privileging processes as outlined in the Medical Staff Bylaws

  • Maintains credential files for all members of the Medical Staff and Allied Health Professional Staff

  • Oversees the maintenance of current and accurate Medical Staff and Allied Health Professional Staff databases

  • Validates provider demographics, licensure information and all other elements of medical staff credentialing file that is submitted by contracted credentialing firm

  • Compiles individual practitioner profiles for use at initial appointment and reappointment to include biographical data, participation in medical staff activities/requirements

  • Coordinates the proctoring process including facilitating proctor assignment with Medical Staff Department Chairs, periodic assessments, and notification of advancement

  • Compiles letters for the Chief of Staff to sign notifying practitioners of their appointment, granting of additional privileges, reappointment and/or advancement to the Medical Staff or Allied Health Professional Staff, and the privileges granted

  • Ensures all current provider privileges/scope of practice are available for viewing on the credentialing software by the appropriate departments in the organization

  • Coordinates Continuous Assessments and Focused Assessments for Medical Staff and Allied Health Professional Staff

  • Works with Medical Staff to develop and maintain performance metrics that are meaningful and meet regulatory requirements, updating the measures as needed

  • Maintains monthly medical staff meeting calendar and manages invites for each department and committee meeting

  • Prepares agendas, minutes, and announcements for Medical Staff Department and Committee meetings, and ensures the appropriate follow up is completed

  • Coordinates meeting room space and food reservations for meetings

  • Maintains electronic files such as reports, meeting documents, and miscellaneous correspondence

  • Maintains the “Unassigned Patient List”

  • Oversees data entry and data integrity of the Electronic Health Record (EHR) Provider Dictionary

  • Coordinates delegated credentialing audits to ensure all practitioner files meet delegation criteria

  • Interprets, explains and follows all regulatory guidelines, including Medical Staff Bylaws, Fair Hearing Plan, Rules and Regulations and medical staff policies

  • Maintains knowledge of standards of DNV-GL, CMS and State and Federal regulations related to medical staff organization and assists with accreditation survey preparation for Medical Staff Services

  • Participates in implementation and maintenance of credentialing software

  • Works closely with contracted credentialing firm to ensure provider information is kept current and processes remain streamlined

  • Ensures medical staff lounge is adequately stocked and arranged for an exceptional experience for medical staff

  • Development and maintenance of Provider Support Program

  • Assumes other related responsibilities to support the needs of Medical Staff Services

KNOWLEDGE/EXPERIENCE: 3 years’ previous hospital experience preferred. Previous credentialing experience highly preferred. Familiarity with DNV-GL and CMS standards preferred. Knowledge of Microsoft applications required. Knowledge of Adobe Acrobat Professional preferred.

EDUCATION: Bachelor’s Degree preferred

LICENSE/CERTIFICATION/REGISTRY: Current NAMSS CPCS and/or CPMSM certification preferred; ability to obtain certification within five (5) years of meeting eligibility requirements
