Job Description Summary

The Catering Administrative Assistant is responsible for assisting the Catering and Convention Services team with various administrative and clerical duties. This role is ideal for anyone who wants to learn more about Catering and become a Catering Sales Manager or Convention Services Manager, in the future

Job Description

Principle duties and responsibilities (Essential Functions) include:

Key Job Functions

o Process catering files: banquet event orders (BEOs), group contracts, and pm numbers.

o Handle general phone, email, and fax inquiries

o Follow up with clients regarding final guarantees, changes, and other catering details

o Screen incoming phone calls, file, and coordinate vendors for upcoming functions.

o Create labels, group packets, reader boards, and directional signs.

o Coordinate group amenities.

o Assist in creating in-house event(s) BEOs.

o Issue/compile daily change sheets for internal departments.

o Email weekly report of all upcoming events: daily event sheets, BEO distribution.

o Creates informational packets.

o Field general catering questions

o Assist with incoming mail

o Assist with check-log and check drops

o Attend department meetings as needed.

Other duties and responsibilities may be assigned. The employee is expected to work in other areas of the hotel when needed to assist operations to perform job duties not necessarily contained in this job description.

Qualifications and Skills

Track record of delivering exceptional guest or client experience

Ability to communicate, both verbally and written, effectively with guests, vendors and co-workers

Must read, write, and speak the English language fluently.

Appropriate professional appearance and demeanor

Previous hotel experience preferred.

Excellent organizational skills

Excellent time management skills and ability to multitask and prioritize workload.

Attention to detail and problem-solving skills.

Proficient in Microsoft Word, Excel, PowerPoint, and other Microsoft Office Applications
