About the Position
We are looking for a Dispatcher to be provide outstanding customer service to both external and internal customers through coordination of pick-up and delivery of petroleum products using established company procedures for sourcing, pricing, and dispatching CityServiceValcon owned equipment and common carriers. The successful candidate will develop strong teamwork approach in maintaining good relations with customers, drivers, co-workers, and suppliers in a professional and profitable manner with honesty and integrity.
You’ll report to the Logistics Manager, working out of our Kalispell, MT location, focusing on these key responsibilities:
Accurately processes customer orders for delivery and/or pick-up loads received by phone, email or fax according to CityServiceValcon dispatching procedures.
Provides accurate, timely information to transport drivers regarding each customer’s delivery.
Provides delivery solutions to maximize efficiency and volume.
Predetermines customers' fuel needs through transportation software and/or tank monitoring system and customer account notes.
Communicates detailed account orders both verbally and electronically to appropriate team members and/or common carrier. Checks for understanding with drivers to ensure accuracy of order details, special instructions and delivery times.
Reviews and audits pricing and allocations prior to dispatching to CityServiceValcon driver or carrier for anticipated price changes. Collaborates with customer and adjust as needed. If adjustment places customer in danger of a run-out, call the customer directly to discuss directions.
Collaborates with the sales team and drivers to resolve delivery issues quickly.
Provides customer and driver feedback to the sales team regarding pricing, billing or delivery concerns.
Collaborates with accounting to gather appropriate driver paperwork; answers questions on delivery to assist in prompt and accurate billing.
Collaborates with other dispatchers to assure a smooth transition of information regarding orders, facility issues, driver or maintenance activity. Communicates any cross geographical or function deliveries to maximize CSV resources.
Uses best practices within dispatch software, and other available resources, to ensure deliveries are monitored from start to finish.
Other duties as assigned.
Requirements
High School diploma or GED.
A minimum of 2 years dispatching commercial vehicles preferred.
A minimum of 3 years providing exceptional customer service.
Intermediate use of computers and various software programs.
Knowledge and experience in fuel and oil industry highly desired.
Flexibility with scheduling – will require working on weekends and holidays.
