Elevated Advisory and Accounting Executive Assistant in Kalispell, Montana

We are looking for a dynamic Executive Assistant to support our CEO in managing daily operational and administrative tasks, ensuring efficiency and smooth functioning of the business.

Position Summary:

As the Executive Assistant to the CEO, you will be a pivotal force in the management of both professional and personal tasks, aimed at optimizing the CEO’s workflow. Your role will cover a wide range of responsibilities from handling bookkeeping tasks to managing communications and coordinating with outsourced services. This position requires a high level of discretion, organizational skills, and proactive problem-solving.

Key Responsibilities:

  • Assist in basic bookkeeping and financial administration, including spreadsheet management and data entry.

  • Manage the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements.

  • Handle email and phone communications, ensuring all messages are responded to promptly and directed to the appropriate staff when necessary.

  • Provide exceptional customer service, acting as a liaison between the CEO, clients, and staff.

  • Run personal and professional errands to help streamline the CEO’s daily activities.

  • Serve as the primary point of contact for external service providers and coordinate the execution of outsourced tasks.

  • Prepare and organize documents, reports, and presentations as required.

  • Implement and maintain systems for efficient information management and retrieval.

  • Assist with ad hoc projects and tasks to support the CEO’s objectives and personal commitments.

    Qualifications:

  • Proven experience as an Executive Assistant, Administrative Assistant, or similar role.

  • Excellent organizational and time management skills.

  • Strong verbal and written communication skills.

  • Proficiency in Microsoft Office Suite, especially Excel, and familiarity with accounting software.

  • Ability to handle confidential information with discretion.

  • High school diploma required; further education or certification in Business Administration or related fields preferred.
