The Loan Operations Representative will perform a variety of loan operations functions for commercial, consumer and real estate loans in accordance with established procedures and policies. Representatives will strive for accuracy and carefulness of work, paying close attention to detail, rechecking and proofing work to ensure a high level of accuracy and quality. Loan Operations Representative duties will be assigned by department leadership. Loan Operations Representatives will be trained to perform some or all of the following essential functions.

Employee will have extensive contact with customers, vendors, the general public, and bank staff and will interact in a professional and courteous manner, and conduct him/herself in such relationships in a manner that will enhance the overall efficiency and image of the bank.

Essential Functions

  • Accurately and promptly complete reports as assigned, loan application log, decline log, department minutes. Completes correspondence for office staff upon request and within prescribed time in a neat and accurate manner.
  • Perform data entry process of new commercial, consumer and real estate loan input on Jack Henry system. Clear GL's on loans, during the boarding process. Perform follow-up detail on loans, such as insurance, liens, and UCC filings. The above described functions include boarding new loans and modification for branch offices, scanning and indexing documents.
  • Examine and balance General Ledger accounts and checking accounts.
  • Assist with pre-closing loan documents checks.
  • Process SBA transactions, filter SBA mail to division.
  • Maintain the CRA Data Entry process and procedures on all Commercial Loans. Provide training as needed.
  • Maintain the integrity of data entry of new loans to our host system by completing full Jack Henry checks on all new loans and Change In Terms.
  • Complete payment and transfer entries on all participations with other financial institutions, affiliates, MBOI and USDA.
  • Assist and respond in a timely manner to audit/examinations by providing reports and/or files. Respond timely to customer requests and credit inquiries on a case by case basis in accordance with RMA code of ethics, also including Verification of Mortgage requests.
  • Assist with any required reports due on a monthly, quarterly and annual basis.
  • Provide assistance as needed to the Commercial Loan Manager and Chief Credit Officer, i.e. insurance, reports, entries to OREO, monitor foreclosures, Adverse Action Worksheets, etc. Also, assist in the Shadow Processing transactions.
  • Keep current on loan programs, lending regulations, procedures and documentation and be a knowledgeable resource to lenders.
  • Assist GBCI with product testing
  • Purchase products for Commercial/Credit.
  • Process all mailed loan payments and afternoon mail.
  • Maintain and process Flood workflow, tracking, monthly, semi-annual reports.
  • Force-place property insurance for loans that are service by Glacier Bank, including commercial and consumer loans.
  • Process loan payoff quotes on Glacier Bank loans.
  • Process loan payoffs for consumer loans.
  • Transition construction loans to principal and interest payments.
  • Process reconveyances and lien releases.
  • Process daily non-post corrections as directed by GBCI.
  • Process customer disputes from 3 major credit bureaus through the E-Oscar system.
  • Set up ACH & AFT automatic payments on all loans, including maintenance on ACH transaction for Deposit Services.
  • Perform file maintenance, reversals and waive late charges on all loan types.
  • Additional duties may be added or removed as needs arise; this may include providing back-up to Commercial Loan Manager, Loan Operations Manager, Commercial Processing, Consumer Processing or Collection Administration.

  • Complete required bank training courses within assigned time frame(s).
  • Must comply with all company policies and procedures and all applicable laws and regulations, including but not limited to, the Bank Secrecy Act, the Patriot Act, and the Office of Foreign Assets Control. Must complete the assigned online training courses and achieve a passing score by due date.
  • Represent Glacier Bank in a professional manner which includes a professional image, confidentiality, a positive "can-do" attitude, flexibility and adaptability in meeting bank and customer needs. Keep work area tidy and maintain customer privacy.
  • Consistently maintains regular and reliable attendance.
  • Additional duties as requested or assigned.

About You

Required Qualifications

  • High degree of attention to detail as well as excellent organizational skill(s) to perform in a fast-paced environment.
  • Must have ability to prioritize and organize heavy workload(s) and demonstrate effective time management skill(s).
  • Must have the ability to work in a professional manner and consistently demonstrate courtesy, customer service, and tact in a fast-paced/deadlines-oriented environment.
  • Ability to work quickly and accurately: perform effectively under pressure; meeting multiple and sometimes competing deadlines and make decisions based on regulation(s), company policy(s), knowledge and experience.
  • Ability to work both independently and in a team environment.
  • Ability to understand and follow complex written and oral instructions.
  • Ability to communicate effectively verbally and in writing.
  • Basic computer skill with working knowledge of word processing, spreadsheets, ten-key, and general computer applications.
  • Working knowledge of standard office equipment.
  • High school diploma or equivalent.

Preferred Qualifications

  • A moderate level of banking and loan documentation experience and knowledge desired.

Work Environment

Must be able to routinely perform work indoors in climate-controlled shared work area with moderate noise level.

Must be capable of occasional travel (less than 10 days per year) by automobile (as driver and passenger), commercial airlines, rental vehicles and public transportation and be able to lodge in public facilities.

Must be able to work extended hours or travel off site whenever required or requested by management. Must be capable of regular, reliable and timely attendance. Must be capable of climbing / descending stairs in an emergency situation.

Specific lifting abilities required by this job include: Sedentary work. Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.

Specific vision abilities required by this job include: The worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading; visual inspection involving small defects, small parts, and/or operation/inspection of machines and/or using measurement devices at distances close to the eyes.
